Our client, a dynamic organization in the support services sector, is seeking a Program Support Assistant to join their team. As a Program Support Assistant, you will be part of the operational team supporting various initiatives. The ideal candidate will have strong organizational skills, excellent communication abilities, and a proactive attitude which will align successfully in the organization.
Job Title: Program Support Assistant
Location: Kingston, ON
Duration: 2 Months Monday to Friday (12pm - 4pm)
March 10 - 14 (8am to 4pm)
Opportunity to engage extra hours based on vacation time and sick leave
What's the Job?
- Receives and directs phone calls to team members & assist with client inquiries
- Daily checking of voice mail messages and distribute appropriately
- Triage and coordinate communication between the team and clients
- Mail appropriate correspondence (including written consent - when accessing information) from other agencies and hospital settings
- Correspond with outside agencies when inquiring about confidential client material on when written consent is provided
- Fax outgoing mail, Receive mail, date stamp mail, and distribute.
- Schedule appointments as directed
- Record, prepare and distribute meeting minutes as requested.
- Make arrangements for staff for conferences
- Development and maintenance of task book for the team as required
- Organize and maintain proper levels of required office supply inventory for team
- Type correspondence as directed by Senior Staff and, where appropriate, team members.
- Maintain and distribute minutes at any case conferences
- File all office correspondence relating to team correctly and promptly
- Additional general office duties as assigned by supervisor, which are consistent with the role.
What's Needed?
Two-year Diploma in Office Administration - Medical
Two years' experience in the administrative field, healthcare background preferred
Current First Aid and CPR certificates
Updated WHMIS and CPI Training
Strong interpersonal and communication skills
Well-developed computer skills in the use of database, word processing, spreadsheet, dicta-typing, MS Office preferred
Understanding of medical terminology
Detail oriented with demonstrated editing and proof-reading skills
Demonstrated problem-solving abilities
