Position Overview:
As a Remote Administrative Assistant at Natural Language, you’ll play an essential role in supporting our team and keeping operations running smoothly. You’ll assist with a variety of administrative tasks, ranging from managing schedules and coordinating meetings to handling communications and preparing reports. This is a critical role that requires a highly organized, detail-oriented individual who is able to multitask and stay on top of multiple projects in a dynamic work environment.
Key Responsibilities:
- Schedule & Calendar Management: Maintain executives' calendars, schedule meetings, and ensure that time is managed effectively. Coordinate travel arrangements and itineraries when needed.
- Email & Communication Management: Monitor and prioritize emails, respond to routine inquiries, and ensure timely communication with clients, stakeholders, and team members.
- Documentation & Record-Keeping: Maintain accurate records, file important documents, and organize data in both digital and physical formats as necessary.
- Meeting Coordination: Assist with scheduling and organizing virtual meetings, prepare agendas, and take notes during meetings. Follow up on action items and ensure that deliverables are met.
- Project Support: Assist in the preparation and tracking of project timelines, deliverables, and deadlines. Help organize project documentation and ensure that all relevant materials are accessible to the team.
- Office Supplies & Resource Management: Order and manage office supplies (virtual tools, subscriptions, etc.) and ensure that remote working resources are well maintained.
- Task Prioritization & Time Management: Work with the team to prioritize tasks and projects, ensuring that deadlines are met and workflows are efficient.
- General Administrative Support: Provide general support for various departments, including HR, Finance, and Operations, by performing administrative tasks as required.
Qualifications:
- High School Diploma or equivalent (Bachelor’s degree is a plus).
- At least 2 years of experience in an administrative support role, preferably in a remote work environment.
- Excellent organizational skills and a proven ability to manage multiple tasks and deadlines effectively.
- Strong written and verbal communication skills with a professional and approachable demeanor.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
- Familiarity with project management software (e.g., Asana, Trello, Monday.com) is a plus.
- Attention to detail and ability to handle confidential information with discretion.
- Ability to work independently and manage time efficiently in a remote setting.
- Tech-savvy with the ability to quickly learn new software tools and systems.
Preferred Skills:
- Experience with cloud-based collaboration tools (Google Workspace, Slack, Zoom, etc.).
- Knowledge of data entry and basic data management.
- Experience with financial tasks such as invoicing, budget tracking, or expense reporting is a plus.
