Project Coordinator – IT Asset Management

About the Role : We are seeking a detail-oriented Project Coordinator to join our IT Asset Management (ITAM) Operations team within a leading financial institution. This role is critical in supporting ongoing initiatives by ensuring seamless coordination, effective communication, and strict adherence to information governance standards. The ideal candidate will have strong organizational skills, technical proficiency, and experience managing SharePoint environments.
Key Responsibilities:
Project Administration
- Maintain and monitor project plans, schedules, and deliverables.
- Track action items and ensure timely follow-up.
Communication & Meeting Management
- Communicate project status updates to stakeholders.
- Organize and facilitate meetings, prepare presentation materials, and document meeting minutes/action items.
SharePoint & Information Management
- Act as Site Owner for project SharePoint sites.
- Manage user access, create permission groups, and maintain directory structures to enforce “Least Privilege” access.
- Implement the company’s Record Retention Policy and manage document lifecycle from creation to archival or destruction.
- Conduct regular audits for data hygiene: remove obsolete files, fix broken links, and ensure proper metadata tagging.
Required Skills & Qualifications:
- SharePoint Expertise: Proficiency in SharePoint Online (permissions, libraries, lists, site settings).
- Technical Skills: Strong knowledge of Microsoft Office 365 (Excel, Outlook, Teams). Experience with project tools such as Jira is a plus.
- Information Governance: Understanding of document lifecycle concepts (creation, storage, retrieval, retention, disposition).
- Soft Skills: Excellent verbal and written communication skills; strong attention to detail.
Preferred Experience
- Previous experience in financial services or regulated environments.
- Familiarity with compliance and data security standards.
