Key Tasks
Operational Leadership & Workflow Optimization
- Lead the design, development, implementation, and evaluation of core business functions that enhance intake, workflow management, tracking, and quality control systems.
- Streamline the coordination of translation requests to ensure efficient, scalable, and consistent service delivery.
- Optimize processes, identify opportunities for improvement, and support the implementation of technology and digital tools to strengthen operational effectiveness.
- Maintain well-documented procedures, internal guidelines, and documentation to ensure consistency, quality control, and knowledge transfer across the team.
Data Analysis, Reporting & Continuous Improvement
- Collect, analyze, and report on operational data, including work volume, service levels, and team capacity.
- Produce performance metrics and KPIs to inform planning, forecasting, and ongoing process improvements.
- Provide strategic insights and recommendations to support operational decision-making and long-term team sustainability.
Client Partnership & Stakeholder Engagement
- Serve as a key liaison with internal clients, ensuring alignment between business objectives and translation service delivery.
- Promote effective communication and strong working relationships across teams, supporting high levels of client satisfaction.
- Contribute to the development and monitoring of service standards and operational priorities across the organization.
Human Resources Coordination & Team Supervision
- Support the Program Leader in managing human resources requirements to enable scalable and effective service delivery.
- Supervise team members, including supporting recruitment, onboarding, coaching, and ongoing professional development.
- Foster a collaborative, motivated team culture grounded in high performance and continuous learning.
Budgeting, Resource Planning & Business Support
- Contribute to staffing plans, budget development, and resource allocation to meet operational needs.
- Support the development of business cases and organizational planning initiatives that promote sustainable growth and long-term success.
Key Qualifications
- Strong Business Operations & Workflow Optimization Experience: Several years of business management/operations experience, ideally in a translation or similar environment, with proven ability to streamline processes and implement operational improvements.
- Leadership & Human Resources Coordination Experience: Demonstrated experience supervising staff, supporting recruitment, onboarding, coaching, and contributing to team development.
- Strong Analytical Skills & Experience with Data-Driven Reporting: Ability to analyze operational data, produce metrics, KPI’s and translate insights into process and planning recommendations.
Qualifications
- Strong leadership capabilities, demonstrated business acumen, and proven experience managing or supporting team operations.
- Exceptional communication, interpersonal, and relationship-building skills.
- Advanced analytical abilities, with experience in data tracking, reporting, and KPI development.
- Ability to balance multiple priorities in a fast-paced environment while maintaining a high level of client service.
- Strong understanding of workflow optimization, process improvement, and operational best practices.
- Proficiency with project management tools, digital systems, Microsoft Office, and familiarity with translation tools (an asset).
- Minimum: University degree in business administration, project management, public administration, or a related field.
- Experience: At least five years of experience in business management or operations , ideally within a translation agency or similar environment.
- Demonstrated experience in leadership, human resources coordination, and business operations management.
- Comprehensive understanding of best practices, methods, and trends in communications and business management.
- Familiarity with standard translation tools, project management principles, and digital documentation standards.
