Dans ce rle, tu seras rattach(e) ladjointe excutive et agira en tant que soutien cl aux quipes des oprations. Tu veilleras la coordination efficace des activits administratives, la planification des rencontres et la bonne circulation de linformation entre les diffrents services. Tu joueras galement un rle de premier plan dans la logistique dvnements internes et le soutien organisationnel global.
Principales responsabilits
- Assurer un soutien logistique et administratif aux quipes des oprations : planification des rencontres, rdaction de comptes rendus et suivi des actions.
- Grer les agendas et les priorits de manire proactive, en collaboration avec les gestionnaires et ladjointe excutive.
- Participer la planification logistique dvnements (rencontres dquipe, rencontres trimestrielles, runions dpartementales, vnements corporatifs, etc.), incluant les invitations, rservations, fournisseurs et matriel.
- Coordonner les dplacements lis aux vnements ou runions externes (hbergements, vols, transport, etc.), tout en veillant lefficacit et au respect des politiques internes.
- Effectuer les tches administratives avec rigueur, prcision et un haut niveau de confidentialit, notamment dans la prparation, le traitement et la transmission de documents internes.
- Contribuer lamlioration continue des processus et proposer des solutions concrtes pour optimiser lefficacit.
Profil recherch
- Diplme dtudes collgiales (DEC) en bureautique, administration ou domaine connexe.
- Minimum de 5 ans dexprience pertinente en soutien administratif, idalement dans le secteur de lassurance ou un environnement haut volume dactivit.
- Bilinguisme essentiel (franais et anglais, loral et lcrit) afin de soutenir les oprations travers le Canada.
- Permis de conduire requis pour des dplacements occasionnels entre nos diffrents bureaux, principalement au bureau de Terrebonne.
- Excellente matrise de la suite Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams) et de SharePoint.
- Sens marqu de lorganisation, rigueur et capacit grer plusieurs priorits simultanment.
- Discrtion, jugement et souci du dtail exemplaire.
- Attitude professionnelle, autonomie et entregent.
- Aisance travailler sous pression et collaborer dans un environnement haut volume dactivits.

If youre looking to play an active role in reshaping the commercial insurance sector within a fast-growing company, were looking for an Administrative Assistant to join our team.
In this role, you will report to the Executive Assistant and act as a key support to the Operations teams. Youll ensure the efficient coordination of administrative activities, meeting planning, and smooth information flow across departments. You will also play a leading role in organizing internal events and providing overall organizational support.
Main Responsibilities
- Provide logistical and administrative support to the Operations teams: meeting planning, minutes preparation, and follow-up on action items.
- Manage agendas and priorities proactively in collaboration with managers and the Executive Assistant.
- Assist with event logistics (team meetings, quarterly meetings, departmental meetings, corporate events, etc.), including invitations, bookings, suppliers, and materials.
- Coordinate travel arrangements for external meetings and events (accommodations, flights, transportation, etc.) while ensuring efficiency and compliance with internal policies.
- Perform administrative tasks with rigor, precision, and a high level of confidentiality, particularly when preparing, processing, and sharing internal documents.
- Contribute to the continuous improvement of internal processes and propose practical solutions to enhance efficiency.
Profile
- College diploma (DEC) in office administration, business administration, or a related field.
- Minimum of 5 years of relevant experience in administrative support, ideally in the insurance sector or a high-volume environment.
- Strong bilingual skills (French and English, spoken and written) to support operations across Canada.
- Valid drivers license required for occasional travel between our various offices, primarily at the Terrebonne office.
- Excellent command of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and SharePoint.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities simultaneously.
- Discretion, sound judgment, and exceptional attention to detail.
