ABOUT THE ROLE
The Registration Process Lead plays a key role in supporting the accurate, efficient, and compliant delivery of regulatory programs. This position is ideal for someone who excels at managing complex administrative workflows while applying analytical thinking to enhance operational effectiveness.
In this role, you will coordinate regulatory activities, maintain detailed applicant and registrant records, and support the administration of professional practice examinations in partnership with post-secondary institutions. You will work with systems such as Microsoft Dynamics 365, Jira, HubSpot, and Power BI to ensure data accuracy, workflow consistency, and streamlined operations.
Your contributions will help uphold regulatory compliance, maintain program integrity, support public protection, and strengthen the efficiency of internal processes.
KEY RESPONSABILITIES
1. Operational Coordination
- Contribute to the coordination and execution of application processing activities.
- Develop, refine, and maintain internal documentation to support consistency and standardization across regulatory workflows.
- Coordinate professional practice examinations with partner colleges, including scheduling, communication, and distribution of instructional materials.
- Oversee the submission, logging, and processing of technical exam requests.
- Contribute to the submission of the Ontario Fairness Commissioner’s Annual Report
2. Program Support
- Support the administration of regulatory workflows, including member applications, renewals, assessments, and admissions.
- Identify inefficiencies, automation opportunities, and process gaps; design and implement improved workflows that reduce manual effort and enhance accuracy.
- Maintain and update program documents—forms, procedures, templates, and guidelines—ensuring alignment with legislation and organizational standards.
- Contribute to process improvements, procedural updates, and the adoption of new tools or regulatory requirements.
- Track operational metrics such as processing timelines and communication indicators.
- Assist in developing dashboards and reporting tools in collaboration with internal team.
- Participate in process reviews, technology enhancements, and compliance initiatives.
- Support system testing, troubleshooting, and implementation of digital tools and upgrades.
- Collaborate with IT to enhance workflow efficiency and ensure high-quality data management.
QUALIFICATIONS
Education & Experience
- Diploma or degree in Business Administration, Regulatory Affairs, Operations Management, Data Analytics, or similar fields.
- Experience with professional certification or professional regulatory bodies is considered an asset.
- Experience in application processing or other intake-driven programs is an asset.
- Not-for-profit experience is a plus.
Skills & Competencies
- Exceptional organizational and time-management skills, with the ability to prioritize and manage competing deadlines.
- Strong written and verbal communication skills, with the ability to interpret and explain regulatory and procedural requirements clearly.
- Microsoft Office experience required (Excel, Word, Outlook, Teams)
- Proficiency with Microsoft Dynamics 365, Power BI, and Jira is an asset
- High attention to detail paired with strong analytical, problem-solving, and critical-thinking abilities.
- Ability to work independently and collaboratively within a team environment.
- Proven ability to manage confidential and compliance-sensitive information responsibly.
OTHER INFORMATION
- Employment type: Full-time
- Reports to: Registrar | Director of Registration and Professional Practice
- Salary Range: $72,000 - $78,000
- The first three months of this position will be in the office, and after that, will be a hybrid alternating between the office and your home
