What does your day at GIP look like?
Reporting to the Project Manager, the The Construction Project Administrator will be working from our site office located in Liberty Village (Toronto) and will help the project management team with various administrative duties.
- Record and distribute minutes for meetings
- Daily Submission of employee hours using proprietary systems
- Data entry including, but not limited to: Installation Reports, Time and Material sheets, Schedule trackers, etc.
- Document control which includes on-going maintenance and updating of our digital filing system and the filing system for all physical paperwork
- Document flow which includes, but is not limited to: the distribution of Submittals, Requests for Information, etc.
- Procurement which includes placing Yard requisitions, trucking requests, and requesting quotes and orders with Vendors
- Coordinate efforts with subcontractors and suppliers as necessary
- Prepare and Distribute formal submissions of work packages
- Drafting RFI’s and Change Orders, as needed.
- Act as a liaison between site and yard, site head office (communicating with payroll team, Procurement Team and Accounts Payables team), and between Site and vendors (to place orders, request order updates, modify orders, and confirm delivery details.)
- Manage office requirements, such as supplies, communicating with the landlord etc
- Visit construction sites within GTA for meetings, tours and to support office coordination efforts
- Miscellaneous tasks as assigned .
Enough about us, let’s talk about you.
- Minimum of 2 years’ experience working in construction, or similar field
- University degree or college diploma in a relevant discipline, or the equivalent in work experience
- Strong communication and collaboration skills with a proven ability to work as part of an integrated team
- Ability to balance multiple work demands using strong organization and time-management skills
- Detail-oriented individual with attention to following a defined process to ensure documentation completeness and accuracy
- Willingness to learn on the job as new tasks develop
- Proficiency in Microsoft Suite
- Ability to read and comprehend technical specifications and drawings is preferred, but not required
- Applicable G or G2 Drivers license (or recognized equivalent) with access to a vehicle.
