The incumbent will:
- Produce, generate and maintain all documentation, including correspondence and forms
- Design and develop brochures, flyers, and information booklets for information and promotion purposes
- Generate and maintain a variety of monthly statistics and reports, including the preparation and distribution of minutes
- Create and update various databases and spreadsheets, and maintain up-to-date client information
- Create, design, maintain and distribute monthly calendars of activities and assist with researching event/entertainment options as required
- Process departmental invoices and prepare expense claims for payment per the Regional Purchasing By-law and policies
- Prepare catering requests to provide refreshments for programs and special events
- Create, monitor and audit attendance sheets and related documentation for the Adult Day Program and survey participants annually
- Book tours of the facility/program and sign up new clients for the Adult Day Program
- Provide clerical support to the department by attending meetings and recording minutes
- Respond to general inquiries from clients, families, staff and the general public
The successful applicant will possess:
- Grade 12 education, plus additional specialized courses in gerontology, MS Office and/or desktop publishing
- Previous experience in a clerical environment
- Proven customer service and interpersonal skills, with the ability to positively interact with residents and the general public and a willingness to adapt services to meet diverse needs
- Excellent co-ordination, organizational and time management abilities
- Proficiency with MS Office applications including Word, Excel and Outlook, as well as working knowledge of PeopleSoft FIMS and Point Click Care
- The ability to work independently, follow instructions, demonstrate accuracy, meet deadlines
- Proven reliability as a self-starter, who can work well in a team setting
- Excellent co-ordination, organizational and time management abilities
- Proficiency with MS Office applications including Word, Excel and Outlook, as well as working knowledge of PeopleSoft FIMS and Point Click Care
- The ability to work independently, follow instructions, demonstrate accuracy, meet deadlines
- Proven reliability as a self-starter, who can work well in a team setting
