SUMMARY OF DUTIES
Reporting to the Manager, Accounting Services, the Accounting Clerk supports daily financial operations by maintaining accurate financial records, reconciles bank statements and general ledger accounts. The clerk verifies, codes, and posts receipts and expenses, and assists with month-end and year-end closing procedures. Maintains organized filing systems, communicates with vendors and internal staff regarding accounting entries, and provides documentation and support during audits. The Accounting Clerk also performs general administrative tasks to ensure the smooth and efficient operation of the accounting section.
GENERAL DUTIES
Reconciles and analyzes balance sheet accounts (such as business unit closing accounts, inter-business unit accounts and other accounts) monthly. Investigates and corrects any discrepancies by preparing, adjusting journal entries.
Reconciles and analyzes the internal and external departmental cost allocation accounts monthly. Investigates and corrects any discrepancies by preparing, adjusting journal entries.
Balances and reconciles bank accounts as required, including booking bank entries.
Updates the monthly financial system report listings, reviews pending transactions and notifies owners at month close.
Safeguards and controls the previous years’ general ledger reports and financial reports.
Verifies, codes, and posts invoices, receipts, and expenses.
Prepares, updates, and maintains financial records and reports.
Maintains organized filing systems for financial documents.
Supports audits by providing documentation and assists with data requests.
Assists in the preparation of the annual financial information return and financial report.
Sorts payroll cheques, directs deposit forms, timesheets and reports and arranges for pickup by departments on a weekly basis.
Works in accordance with the provisions of applicable Health and Safety legislation and all City of Hamilton corporate and departmental policies and procedures related to Occupational Health and Safety.
Performs other duties as assigned which are directly related to the duties of this position.
QUALIFICATIONS
- Demonstrated knowledge of basic accounting procedures and principles.
- Experience working in a computerized environment. Working knowledge of Word, Excel and Outlook.
- Working knowledge of an Enterprise Resource Planning financial system is an asset.
- Good written and verbal communication skills.
- Demonstrated ability to work with other computer programs as required.
