The Congregation of the Sisters of the Holy Names of Jesus and Mary (SNJM) is an international Roman Catholic religious institute with headquarters located in Longueuil, Quebec. The SNJM mission promotes the full development of the human person through education, social justice, contemplation and the arts. In this time of dynamic and innovative change, the Congregational Leadership Team is seeking to hire a creative Executive Director for their 12-person office in Longueuil.
POSITION:
The Executive Director (ED) of the General Administration of the Congregation of the Sisters of the Holy Names of Jesus and Mary (SNJM) is the person responsible for overseeing the General Administration Office (GA) of this Congregation. The Executive Director collaborates with and reports to the Congregational Leadership Team (CLT) as they work together to carry out the SNJM mission and charism. In this time of change, the ED plays a crucial role in implementing both current and future changes within the organizational structure. The Executive Director must understand the role of Catholic religious in today's world and be open to acquiring an in-depth knowledge of the history, values, and current realities of the Congregation.
Supervision:
The executive director works collaboratively with the Congregational Leadership Team (CLT) and reports directly to the Congregational Leader.
Primary duties and responsibilities :
Leadership
· Participate with the CLT in developing a vision and strategic plan to guide the General Administration (GA)
·Identify, assess and inform the CLT of internal and external issues that affect the organization
·Act as a professional advisor to the CLT regarding civil laws and requirements that relate to the GA; consult appropriate canon and civil law advisors as needed
·Foster effective teamwork with the CLT and with the staff
·Represent the CLT at appropriate community activities; maintain membership in and participate in regional, national, and international finance and legal groups, e.g. ATTIR, ATRI, RCRI, SHARE, NWCRI, etc.
Planning and management
·Develop an operational plan which incorporates goals and objectives that are in line with the SNJM mission and values
·Oversee the efficient and effective day-to-day operations of the GA
·Coordinate the monthly Staff Collaboration meetings
·Ensure that current policies are followed and that appropriate procedures exist to implement them; as needed, recommend updates or new policies to the CLT
·Oversee the planning, implementation and evaluation of changes in the GA’s structures and related special projects, as requested by the CLT
Human resources (HR)
· Determine the GA staffing requirements with input from the CLT
·In collaboration with the CLT, recruit, interview, select and orient new staff who have the necessary technical and personal abilities to further the GA’s mission; as needed, provide additional training for staff members
·Establish a positive, healthy and safe work environment in accordance with all appropriate legislation, regulations and the GA’s employee handbook
·Oversee the implementation of the HR policies and procedures including up-to-date job descriptions for staff members and updates to the Employee Handbook
·Implement a performance management process which includes setting objectives for each employee, on-going monitoring of employees’ work, and conducting annual performance reviews
·Overall management and supervision of staff
·Manage the salary scale with regard to the Pay Equity Law and file the required Pay Equity Law reports to the government
·Keep the CLT advised regarding any significant personnel issues (e.g., the disciplinary steps to be followed in accordance with the Employee Handbook and Quebec labour law)
The Executive Director Oversees the Following Financial and Material Resources Planning and Management Areas (FP)
· Ensure that a comprehensive annual budget is produced with input from the CLT
· Ensure that adequate internal controls exist to secure the assets of the GA
· Ensure that sound bookkeeping and accounting procedures are followed, including appropriate approvals for expenditures
·Ensure that funds are administered according to the approved budget
·Review monthly and quarterly cash flows, and ensure that regular financial reports are given to the CLT, with explanations of budget variances
·Ensure that the GA complies with all legislation covering registered charities
·Ensure there is adequate oversight of GA investments, and that Environmental, Social, and Governance (ESG) principles are applied, and serve on the SNJM Investment Committee
·Management of rental agreement with the City of Longueuil
· Ensure that contracted services are appropriately monitored and effective communications are maintained
Risk management
·Identify and evaluate the risks to the sisters and staff of the GA, the properties, finances, and public relations; implement measures to control risks
·Ensure that the GA carries appropriate and adequate insurance coverage
Qualifications:
Education
· Bilingual French/English with excellent writing and speaking skills in both languages
· Bachelor’s degree in Organizational Management or similar major; or an MBA
Experience
· 5 years+ experience, including human resources management, financial management, and project management, demonstrating increasing levels of administrative responsibilities
· Experience demonstrating a collaborative working style
· Experience requiring knowledge of federal and provincial legislation applicable to charitable organizations
· Experience demonstrating leadership and knowledge regarding non-profit organizations and/or religious institutes
· Experience demonstrating ability to create and maintain effective working relationships with a broad range of constituencies, both regional and international (e.g., Sisters, Associates, co-workers and collaborating organizations)
· Knowledge of emerging technology
· Experience with and respect for values of the SNJM congregation
· Familiarity with Canon Law is highly desirable
