Medical Operations Specialist: Your journey begins here!Our fast-growing Aeromedical Company needs an experienced Medical Operations Specialist to join our team at the Hamilton International Airport in Mount Hope, ON. This position will report to the Director of Medical Operations and work alongside the Medical Operations Lead.
The Medical Operations Specialist is a trained medical professional who will be using their knowledge of medical equipment, medical supplies, and medications to support our Medical Operations department. The Medical Operations Specialist will support our medical operations department with a variety of hands on and administrative duties. This role will require administrative skills in the areas of data entry, word processing, spreadsheet preparation and maintenance, as well as all aspects of inventory control and procurement for the department. This role will also require hands-on work with a variety of medical equipment and medications; maintaining and ordering of inventories and supply lists, tracking medication expiries, troubleshooting of equipment, and arranging for repairs and maintenance as needed.
This role will not involve working directly with patients/clients, in a care capacity. It will involve lots of hands on with computers, databases, medical equipment, and inventory as well as the administrative duties. Key Responsibilities:
- Track, restock, reseal, and maintain medical equipment bags, PPE, medication kits, and technology kits to ensure mission readiness.
- Conduct daily pre- and post-mission aircraft medical readiness inspections.
- Perform daily narcotic inventory checks, including verification of red tag documentation and compliance with controlled substance protocols.
- Complete daily temperature monitoring of medical refrigerators and document compliance.
- Troubleshoot, inspect, and maintain hospital-grade medical equipment, including defibrillators, ventilators, and infusion pumps.
- Monitor supply and medication expiration dates; update records monthly and perform hands-on replacement of expired items.
- Manage inventory and restocking of commissary and mission snack supplies.
- Receive, log, and distribute incoming medical supplies and equipment shipments.
- Perform medical laundry services, including washing, drying, and folding of reusable items.
- Assemble, file, and maintain medical chart packs in accordance with organizational and regulatory standards.
- Track and follow up on mission feedback reports to support quality improvement initiatives.
- Prepare, distribute, and monitor medical crew checklists to ensure timely completion and compliance.
- Maintain accurate medical and operational records through database entry, filing systems, and electronic documentation.
- Provide coverage for Medical Operations Lead duties during scheduled absences.
- Support the Chief Nurse Educator and Medical Operations Department with department-specific new hire orientation.
- Assist the Director of Medical Operations and Medical Operations Lead with operational tasks and special projects as assigned.
- Coordinate office administrative procedures; review, evaluate, and implement process improvements.
- Compile data and prepare periodic and ad hoc reports, manuals, and official correspondence.
- Establish work priorities, meet deadlines, and ensure adherence to departmental policies and procedures.
- Administer policies related to the release of medical records, including processing government information requests.
- Perform additional duties and special projects as needed to support evolving departmental requirements.
Qualifications Hard Skills:
- Must have Post Secondary Education as a Healthcare Practitioner (i.e., RPN, RN) or other Healthcare discipline with significant working experience using medical devices, medical supplies, medications, etc.
- *International Healthcare experience or education with applicable transferable skills will be considered. Provincial licencing is not required.
- Must have basic knowledge of general (hospital) medical supplies including equipment (defibrillators, ventilators, and infusion pumps).
- Medical terminology, knowledge of medical supplies, & medications.
- Experience with project management would be an asset.
- Advanced Computer Skills including Microsoft Office (MS Teams, Excel, Outlook, and Word)
- Candidate must have G2 or higher license and be able to provide own transportation to and from John C. Munro Hamilton International Airport
- Ability to travel occasionally between the Hamilton Airport and various suppliers, vendors, etc. (Mileage paid)
