POSITION OVERVIEW
The City is seeking a highly organized and service-oriented Facilities Operations Clerk to provide office and administrative support within the Facilities, Parks and Properties Division. This role is the central point of contact for facility-related maintenance requests and plays a key part in ensuring work orders are received, prioritized, coordinated and tracked through to completion.
This is moderately complex clerical work involving a broad range of office support services, coordination duties and detailed administrative processing. The successful candidate will exercise sound judgment in handling routine matters independently, while referring unusual or more complex issues to a supervisor.
What You’ll Do:
- You will be the primary point of contact for facility maintenance concerns from City staff, the public and external vendors.
- Receive, assess, prioritize and enter maintenance and service requests into the work order management system.
- Follow up with requestors to obtain missing details and clarify service needs.
- Coordinate and schedule repairs and service requests with internal trades staff, the Trades Supervisor and external contractors.
- Monitor and track work orders from intake to completion, updating records and stakeholders as required.
- Assess urgency, safety implications and operational impacts to support timely response and escalation.
- Help coordinate repairs in a manner that minimizes disruption to City operations and facility users.
- Communicate service interruptions, facility access requirements, parking arrangements and other logistics related to contractor attendance.
- Assist with scheduling preventive maintenance activities to support the ongoing upkeep of City facilities.
- Assist in obtaining quotes for minor maintenance, repairs and related services.
- Process departmental invoices, including review, coding, routing for approval and forwarding for payment.
- Maintain and reconcile staff corporate purchasing card transactions, correct coding where appropriate and identify discrepancies or policy concerns.
- Perform departmental timesheet data entry and support related administrative records.
- Prepare and maintain reports, records, meeting agendas, minutes and documentation related to policies, procedures and work order systems.
- Liaise with internal departments, contractors, vendors and other contacts to obtain and provide information related to the work.
KNOWLEDGE, SKILLS, AND ABILITIES
- Considerable knowledge of the building facility repair and maintenance service resources readily available to the City as it relates to the work performed.
- Considerable knowledge of modern office practices and procedures.
- Sound knowledge of the nature of routine building maintenance and repair problems and the type of resources normally required to resolve them.
- Sound knowledge of basic accounting and invoicing procedures including purchasing orders and cost tracking duties related to the work performed.
- Ability to establish and maintain effective working relationships with internal and external contacts and obtain and provide information related to the work performed.
- Ability to perform a variety of clerical tasks, process standard documents, compose routine correspondence, and prepare routine reports related to the work performed.
- Ability to communicate effectively orally and in writing.
- Ability to proficiently use Microsoft office programs, including Word, Excel, Outlook, operate work order software systems and financial tracking tools related to the work.
DESIREABLE EDUCATION AND EXPERIENCE
Completion of Grade 12 including or supplemented by standard office application software courses, plus sound related experience in a building maintenance services environment; or an equivalent combination of training and experience.
ADDITIONAL INFORMATION:
This position is required to provide vacation coverage for the Cemetery Coordinator, and the successful incumbent should be comfortable with meeting with families and other representatives to discuss interment arrangements, marker options and ornamentation practices along with coordinating with funeral homes to arrange interment dates and times.
