As a New Patient Scheduler, you are the first point of connection for patients starting their fertility care. Your role is to create a welcoming, supportive, and seamless experience from the very first interaction.
What You’ll Be DoingPatient Experience & Communication- Deliver exceptional, compassionate service across calls, email, and patient platforms
- Respond to inquiries with empathy, clarity, and professionalism
- Guide patients through the first steps of their fertility journey
Scheduling & Coordination- Convert inquiries into scheduled appointments
- Balance schedules across multiple physicians and locations
- Monitor and manage patient intake and referral flow
Patient Intake & Administration- Collect and verify patient demographic and insurance information
- Support completion of registration and consent forms
- Send new patient packages, resources, and educational materials
- Prepare preliminary requisitions (e.g., blood work)
Tracking & Reporting- Maintain accurate logs of patient inquiries and registrations
- Track referrals and support reporting metrics
- Monitor patient portal completion and documentation
Collaboration- Work closely with physicians, clinical teams, and leadership
- Communicate with physician liaisons and front desk teams
- Support a coordinated, patient-centred care experience
What You Bring- Up to 2 years of patient-facing or customer service experience
- Medical Office Assistant (MOA) certification (asset)
- Experience in a medical clinic (preferred)
- Strong communication and organizational skills
- Ability to multitask and manage high call volumes
- A genuine passion for helping people
