Your Role in Supporting Our Members:
As the Leadership Forums Specialist, you will play a pivotal role in shaping how Vancity’s leaders come together to align on strategy, culture, and impact. You’ll own the end‑to‑end planning and delivery of enterprise leadership forums—ensuring each convening is purposeful, designed with intention, and delivered with excellence. Working closely with senior leaders, cross‑functional partners, and external vendors, you’ll translate strategy into compelling leadership dialogue that strengthens organizational coherence and leadership effectiveness.
We’re looking for a highly organized, detail-oriented, strategic, and relationship‑driven professional who thrives in complex environments and brings enthusiasm, vision, and purpose to event planning. This is a unique role in that it requires both a tactical event planning skillset—someone who can organize and deliver on complex logistics for large events—as well as a strategic mindset—someone who can translate strategy into thoughtfully designed agendas, presentations, and interactive sessions.
This is a Full‑time, Permanent role based at our Vancity head office and will report directly to the Chief of Staff to the CEO. While this position provides a hybrid work arrangement, you will be expected to be on‑site regularly, including forevents and business demands.
How You'll Make an Impact:
Owning and Project Managing Leadership Forums:
- Owning the annual leadership forums calendar—sequencing events, objectives, audiences, and agendas across Senior Leadership Summits and Line‑of‑Business Leadership Forums (both held 3x annually) and All‑Managers Meetings (held 1x annually)
- Leading end‑to‑end project management for leadership forums, including both logistics and content, from planning through delivery and post‑event follow‑up
- Supporting the Chief of Staff to the CEO and Sr. Executive Assistant to the CEO in the planning and delivery of quarterly Executive Leadership Team Offsites
- Managing budgets, logistics, timelines, invite lists, risks, and dependencies across multiple concurrent events
- Serving as day-of, onsite coordinator for leadership forum events, including creating and overseeing detailed run-of-show, coordinating internal and external support staff, and adjusting timing, flow, or other details quickly and effectively when required
Coordinating Across Collaborators:
- Acting as the central point of coordination across key internal collaborators such as the Enterprise Strategy, Executive Leadership, and facilities teams, as well as other cross-functional collaborators and event attendees
- Researching, vetting, aligning on scope of services, coordinating detailed plans, and serving as primary point of coordination among external vendors, including venues, caterers, audio-visual, décor, external speakers, and more
Developing and Driving Content:
- Shaping clear, cohesive agendas and session flows that translate strategy into actionable leadership dialogue
- Developing PowerPoint presentations and materials to be presented by executive leaders, translating complex strategy into compelling narratives tailored for the audience and the moment in time
- Coordinating pre‑reads, presentations, and post‑event materials across multiple teams
Continuously Improving:
- Establishing success measures, gathering participant feedback, and continuously improving forum design and execution
- Bringing passion and vision to the role by constantly innovating and improving uponevents to ultimately enrich and deepen the attendees’ experience in ways that help build connections, align teams to strategic priorities, and energize and inspireVancity leaders
What You’ll Bring to the Team:
- A post‑secondary degree in business, communications, organizational development, or a related field
- 5+ years of progressive experience in event planning, executive forums, program or project management, or a similar role
- Demonstrated experience leading complex, multi‑stakeholder initiatives from concept to delivery
- Strong project management capabilities, including budget, timeline, and risk management
- Advanced PowerPoint and presentation development skills, with a strong eye for narrative and visual design
- Proven ability to work effectively with senior leaders, cross‑functional partners, and external vendors

What You’ll Earn:
This role offers a salary range of $69,700 to $82,000 per annum. The base pay offered may vary depending on factors such as relevant qualifications, skills, previous experience, and internal equity. As part of our total rewards package, employees may also be eligible for our annual incentive program, subject to program eligibility requirements.
