Your Role in Supporting Our Members:
As an Administrative Assistant, you will provide essential administrative and coordination support to the Office of the CEO, enabling effective planning, organization, and delivery of day-to-day business activities. This role plays a key part in supporting operational efficiency by managing schedules, preparing documentation, coordinating communications, and tracking follow-ups, allowing leaders and teams to focus on delivering impact. We’re seeking a highly organized, detail-oriented professional who thrives in a fast-paced environment and enjoys supporting others to do their best work.
This is a Full-time, Permanent role based at Vancity head office and will report directly to the Chief of Staff to the CEO. While this position provides a hybrid work arrangement, you will be expected to be on-site for events and business demands.
How You'll Make an Impact:
- Coordinating calendars, meetings, and team activities including scheduling and logistics
- Preparing meeting materials, agendas, and supporting documentation
- Providing general administrative support including document preparation and records management
- Maintaining shared files, resources, and administrative systems
- Supporting team communications by capturing meeting notes and key information
- Tracking follow-ups, action items, and timelines to support deliverables
- Assisting with operational processes to ensure work is organized and progressing as planned
What You’ll Bring to the Team:
- Completion of a post-secondary certificate or diploma in business administration or a related field
- A minimum of 2–3 years of experience in an administrative assistant or coordination role
- Demonstrated experience supporting senior leaders or executive teams
- Strong organizational and time management skills with attention to detail
- Proficiency in Microsoft Office applications including Outlook, Word, Excel, and Teams
- Experience managing calendars, scheduling meetings, and preparing documentation

What You’ll Earn:
This role offers a salary range of $55,300 to $65,000 per annum. The base pay offered may vary depending on factors such as relevant qualifications, skills, previous experience, and internal equity. As part of our total rewards package, employees may also be eligible for our annual incentive program, subject to program eligibility requirements.
