The Role
The Business applications and Integrations Specialist is a technical role that will own Zoho CRM administration and lead development of integrations between CRM, QuickBooks Online, and other business applications across a multi-entity franchise environment (34+ separate legal entities). The immediate focus is CRM administration and integration architecture, but the mandate is broader: this person will grow into technical ownership of core business systems and contribute to architecture and platform decisions across multiple projects, including systems beyond Zoho should the organization's platform strategy evolve.
Key Responsibilities
1-CRM Administration & Development
- Administer and configure Zoho CRM: modules, layouts, blueprints, workflow rules, assignment rules, and validation logic across two franchise brands.
- Write and maintain Deluge custom functions for CRM automation (record creation, cross-module linking, approval logic, notifications).
- Support the CRM rebuild initiative: help redesign pipeline stages, blueprint transitions, and required-field enforcement.
2-Integrations & Data Architecture
- Design and build integrations between Zoho CRM, Zoho Flow, and QuickBooks Online — including field mapping, sync scheduling, and error handling.
- Own data integrity across sync pipelines: build upsert logic (not blind insert/re-insert), deduplication safeguards, and reconciliation checks between source (QBO) and destination (Zoho).
- Troubleshoot and resolve sync failures, API rate-limit issues, and data mismatches across ~30 QuickBooks company accounts feeding a centralized reporting layer.
3-Architecture & Platform Strategy
- Participate in architecture and platform strategy discussions (build vs. buy, vendor evaluation, migration planning).
- Contribute technical judgment across projects outside the immediate CRM/integration scope as priorities shift.
- Document integration architecture and hand off maintainable, well-commented code — not one-off scripts only the author can read.
Required Qualifications:
- 3+ years hands-on CRM administration (configured blueprints, workflows, custom functions) — or equivalent hands-on admin depth in another CRM platform (Salesforce, HubSpot, Dynamics) with direct experience building automation logic, not just using out-of-the-box features.
- Bachelor’s Degree in Computer Science , Computer Engineering or an equivalent to that
- Experience writing custom functions or scripts to manipulate CRM records programmatically using JavaScript or equivalent languages.
- Solid understanding of REST APIs, OAuth, webhooks, and sync architecture (polling vs. event-driven, idempotency, upsert vs. insert).
- Experience with AI Integrations.
- Comfortable working across multiple orgs/tenants and reconciling data at scale — or experience with multi-location franchise systems, multi-subsidiary structures, or multi-client agency/MSP environments.
- Ability to work independently on ambiguous technical problems without requiring heavy oversight.
Nice-to-Have Qualifications
- Demonstrated experience integrating a CRM with an external accounting, ERP, or system of record — QuickBooks Online is a strong plus, or equivalent experience owning field mapping and sync logic end-to-end between any CRM and any external system.
- Exposure to multi-entity business systems.
- Exposure to custom App Development.
- General understanding of other workstreams (Finance, Operations).
- SQL proficiency
Key Attributes
- Accountability and ownership – takes responsibility for outcomes, follows through on commitments, and ensures tasks are completed accurately and on time without requiring excessive supervision.
- Root-cause thinker – doesn't stop at workarounds; when two systems disagree or a sync misbehaves, digs until the actual cause is found and fixed at the source.
- Architectural range – comfortable moving between hands-on scripting and higher-level systems/platform thinking; doesn't need everything scoped into a ticket to make progress.
- Clear communicator – explains technical information in simple, accessible language and documents work so others (including a future teammate) can pick it up.
