POSITION SUMMARY

Reporting to the Director, Engagement, the Officer, Engagement will play an important role in the coordination, delivery and continued growth of the Foundation’s engagement strategy.

This is a hands-on role for someone who enjoys connecting with people, managing multiple priorities and creating exceptional experiences. The Officer, Engagement will coordinate and lead engagement activities designed to introduce prospective supporters to WRHN Foundation, deepen existing relationships and create meaningful connections between our community and the healthcare happening across WRHN.

Working closely with the Director, Engagement, the Officer will support and take ownership of key components of the Inside WRHN tour program, donor and prospect engagement, the WRHN Family Campaign, physician and grateful patient engagement, Community “Ask” events, and other donor and community engagement experiences. This includes leading follow-up and stewardship activities, cultivating early-stage prospective supporters, coordinating engagement initiatives and events, and helping move qualified prospects through the Foundation’s engagement and fundraising pipeline.

The Officer, Engagement will work collaboratively with colleagues across WRHN Foundation, hospital teams, physicians, clinical leaders, volunteers and community partners to ensure engagement programs are coordinated, donor-centred and impactful.

KEY RESPONSIBILITIES

Inside WRHN Tour Program

Inside WRHN provides community members, donors and prospective supporters with an opportunity to experience healthcare firsthand and better understand the impact of philanthropy across our hospital system.

Coordinating tour schedules, registrations, participant communications and logistics across WRHN sites and clinical areas.
Working with hospital teams, physicians and clinical leaders to coordinate tour experiences.
Managing guest confirmations, reminders, attendance and post tour communications.
Helping ensure every participant receives a welcoming, professional and meaningful experience.
Leading the project management of the follow up activities and tracking participant engagement following each tour including, as required, speaking with prospective supporters.
Maintaining accurate records within the Foundation’s constituent relationship management system.
Supporting the Director, Engagement in the continued implementation of the Benevon engagement model and the movement of prospective supporters through the Foundation’s engagement pipeline.

Donor and Community Engagement

The Officer, Engagement will support opportunities for donors, prospective donors and community members to learn more about WRHN, connect with the people delivering care and understand the impact they can have on local healthcare.

Supporting and as required, leading any donor and prospective donor meetings, tours, presentations and engagement experiences.
Preparing participant information, briefing materials and other resources to support engagement activities.
Leading timely follow up arising from tours, meetings and other engagement opportunities.
Ensuring relevant engagement information is accurately captured and shared with appropriate Foundation team members.
Leading stewardship activities that help strengthen relationships with existing donors, table captains and supporters.
Collaborating with Philanthropy, Fundraising Events, Marketing and Communications, Stewardship and Foundation Operations, and as required, WRHNF and WRHN Board and Senior Leadership Teams, to provide a seamless donor and community experience.

WRHN Family Campaign

The Officer, Engagement will work closely with the Director, Engagement to help grow the WRHN Family Campaign, creating opportunities for staff and physicians across WRHN to participate in and champion the future of healthcare.

Supporting the development and rollout of the Family Campaign across WRHN sites, departments and teams.
Leading opportunities for staff participation through monthly giving, payroll giving, Team 50/50, Team WRHN swag and other engagement initiatives.
Supporting the Director, Engagement at Hospital Team huddles, department meetings and other internal gatherings to introduce the Family Campaign, build awareness and encourage participation.
Helping deliver presentations, speaking opportunities, materials and resources required for Hospital Team huddles and internal campaign activities.
Working with hospital leaders, managers and staff champions to coordinate opportunities to bring the Family Campaign directly to teams across WRHN.
Coordinating internal campaign communications, presentations, activities and recognition opportunities.
Supporting and engaging Family Campaign champions across hospital departments and sites.
Tracking and reporting on participation and engagement to help measure the growth and reach of the campaign and KPI for WRHNF management and Board.
Create a consistent and positive experience that builds awareness of the Foundation and strengthens a culture of philanthropy throughout the WRHN family.

Clinicians Roles in Grateful Patient Philanthropy

Physicians and clinical teams are among the Foundation’s most important partners in connecting grateful patients and families with philanthropy. The Officer, Engagement connects WRHNF with physician and clinical teams, and data to build major-gift pipelines from patients who express appreciation for their care:

Facilitate helping grateful family and patients show gratitude after care episodes to support WRHNF.
Handle administration and coordination of the physician referral and grateful families and patients’ engagement program.
Cultivate early-stage grateful families and staff and transition top prospects to major gift team after Advancement Research clearance.
Maintaining accurate program records and supporting the tracking of activity and outcomes.
Maintain strict privacy standards, such as HIPAA, if provided with patient health information by grateful families and patients.
Engage Medical Leaders and Clinical staff by helping train physicians, nurses and clinical staff on how to respond to gratitude and make ethical referrals.
Assisting with physician communications, presentations, meetings and educational opportunities.
Engage physicians and clinical leaders in tours, donor experiences, stewardship opportunities and Foundation activities.
Build awareness among physicians and clinical teams of how and when the Foundation can appropriately support patients and families who express an interest in giving back.

Engagement Experiences, Community “Ask” Event and Coordination

From small donor meetings to hospital tours and larger engagement opportunities, this role will help ensure the details are taken care of, engagement of table captains, and participants have an exceptional experience.

Timeline & Project Management

Manage the Master Timeline: Establish and execute the standardized “Ask” event timeline on the organizational calendar, tracking all countdown tasks (typically starting 6+ months out).
Run-of-Show Strictness: Create and oversee a highly detailed, minute-by-minute script and layout to guarantee the event stays precisely within the required 60-minute timeframe.

Table Captain & Guest Management

Table Captain Coordination: Act as the primary point of contact for Table Captains, ensuring they are trained, tracking their progress, and confirming they only invite guests who have previously attended a Point of Entry (POE) event.
RSVP & Seating Tracking: Maintain meticulous guest lists and seat assignments within the donor database (e.g., Raiser’s Edge NXT). Coordinate table charts to ensure correct grouping and alignment.
Name Tag Production: Oversee the error-free generation of attendee name tags, complete with table assignments.

Logistics & Vendor Relations

Venue & Catering Operations: with assistance of the Fundraising Event team, research, book, and coordinate with venues and caterers—typically organizing a streamlined breakfast or luncheon environment that allows for immediate guest seating without standard lines.
Audio/Visual (AV) Setup: with the assistance of the Fundraising Event team, coordinate strict tech rehearsals for video presentations and speakers to ensure emotional storytelling components land with absolute technical precision.

Pledge & Data Management

Pledge Kit Assembly: Prepare the necessary materials for the "Ask," ensuring each seat or table has the exact designated multi-year pledge cards and information packets.
Post-Event Data Entry: Manage the systematic collection and manual entry of one-time gifts and 3-to-5-year pledge commitments into the Raiser’s Edge NXT system.
Metric Reporting: Track and evaluate the immediate financial results and attendance conversion rates against the baseline goals for the “Ask” Event.

EDUCATION AND EXPERIENCE

Required

Post secondary education in recent fundraising, communications, marketing, business, event management, community development or a related field, or an equivalent combination of education and experience.

Assets

Experience 3 to 5 years in fundraising, donor relations, community engagement, healthcare, events, nonprofit organizations or a related environment is considered an asset.
Experience with a fundraising constituent relationship management system, including Raiser’s Edge NXT, is considered an asset.

Strong working knowledge of Google Office Suite and comfort learning digital registration, communication and database platforms. Microsoft Office knowledge is helpful.

ADDITIONAL REQUIREMENTS

Flexibility to work outside regular business hours, including occasional evenings or weekends when required to support Foundation activities and engagement opportunities.
Comfort moving between hospital environments, donor experiences, staff meetings and Foundation activities.

WHAT WE OFFER

Salary Range: The target hiring range for this role is $63,240 to $73,950, with ability to progress commensurate with experience and success.

Vacation: Four weeks’ vacation, plus summer wellness days and additional float days.
