Job purpose

The Office Administrator greets all visitors and callers. They support the Director, Finance and Administration and provide general administrative assistance to all other staff.

Duties and responsibilities

•Greet visitors and callers in a professional and friendly manner.

•Support Director, Finance and Administration with general administrative duties.

•Maintain office and supplies

•Order and/or pick up supplies when required.

•Maintain office kitchen.

•Contact technical support for electronics (i.e.: printers, phones, computers).

•Contact repair and maintenance services when needed.

•Maintain efficient filing system for accounts payable.

•Assist in maintaining all office files.

•Enter invoices for and assist with all aspects of accounts payable

•Sort and distribute incoming mail.

•Maintain employee training records and scheduling.

•Assist in maintaining policies and procedures.

•Generate and distribute customer invoices

•Provide constant supply of forms, cards, tags, etc. to the production floor.

•Perform other related duties as assigned.

•Requires flexibility and understanding that all staff may be required to perform duties outside their normal area of expertise to meet the mission and goals of the Company.

Qualifications

•High School Diploma.

•Minimum 2 years experience in an office setting.

•Experience in a manufacturing setting an asset.

•Must be able to maintain a friendly, yet professional, disposition.

•Strong communication and interpersonal skills.

•Must be able to communicate with all employees, customers and vendors over the phone and in person.

•Excellent computer skills including MS Office applications.

•Ability to handle multiple schedules and priorities while under minimal supervision.

•Ability to maintain a neat and organized workspace.
