The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Responsibilities
- Serve as the primary point of contact between the executives and internal/external parties.
- Manage and maintain complex calendars, scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle incoming calls and emails, directing them to appropriate parties or responding on behalf of the executives when necessary.
- Take initiative to execute tasks and projects with minimal direction, ensuring timely completion and high-quality outcomes.
- Coordinate and manage special projects as assigned by the CEO and Co-Founders.
- Conduct research and compile data to support decision-making and strategic planning.
- Organize and facilitate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Coordinate logistics for board meetings, conferences, and other high-profile events.
- Confidentiality and Discretion:
- Handle sensitive information with absolute confidentiality and professionalism.
- Maintain confidentiality of privileged information and ensure security of executive documents and communications.
- Manage office supplies and equipment, ensuring efficient operation of the executive office.
- Liaise with other departments to ensure smooth administrative operations.
Qualifications
- Bachelor’s degree or equivalent experience preferred.
- Minimum of 5 years of experience as an executive assistant or in a similar role supporting senior executives.
