Position Information
Reporting to the Manager, Wellness, Engagement & Recognition, under the guidance of the Lead, Events & Recognition and in collaboration with the Coordinator, Events & Recognition, the Coordinator is responsible for supporting the planning, organizing, coordinating, promoting and roll-out of the main corporate events (including but not limited to Staff Appreciation Week [SAW], Winterfest and Long Service Awards [LSA]). The Coordinator is responsible for specific event outputs and ensures that the program's operations run smoothly (efficiently and effectively) through sound administration and client support.
This is a corporate position, and the incumbent is responsible for providing support across all three main campuses as well as multiple satellite locations.
Rotation/Shifts
Days, 8 hour shifts
- This position requires flexibility to support events outside of regular work hours specifically for weekend or evening events.
What You Will Do
- Coordinate and participate in outreach and/or events for the program;
- Support the development and maintenance of relationships with key stakeholders;
- Represent the department/program as needed for committees, project teams etc.;
- Understand and promote the need for communication when interacting with stakeholders;
- Participate in all committees/resource groups relevant to the successful operation of the program;
- Educate stakeholders (both internal and external) on scope of program;
- Prepare educational materials for various stakeholders and provide education/guidance to staff;
- Prepare Agendas and write minutes for Committee and Workgroup Meetings;
- Act as a content expert on the program for the organization and provide guidance on how to navigate program processes;
- Coordinate and lead quality improvement activities to support the program;
- Collect and analyze data on/relevant to program activities;
- Prepare/review reports for leadership team and others as needed in close consultation with key stakeholders;
- Design, collate, and analyze activity, quality and efficiency data to meet the information needs of the management team and organization;
- Collaborate with VP, Directors, Physicians, Managers, and clinical teams to determine information needs and the identification/resolutions of issues;
- Process all relevant program documentation (e.g., letters, data, statistics, patient information, staff information);
- Coordinate activities relevant to program (planning information sessions, scheduling, assessments, interviews, team meetings, booking rooms, or preparation of communication;
- Manage systems relevant to the program;
- Provide support with teams, inboxes and general request enquiries;
- Support the physical set up and tear down of corporate events.
What You Will Bring
- Three (3) year community college degree in Communications, Event Planning, Public Relations, Marketing, Human Resources, or a related field;
- Three (3) years of experience coordinating various aspects of events (e.g., communications, volunteer management, vendor management, etc.)
- Experience with various modes and platforms of event delivery: virtual, in person and hybrid
- Exceptional organizational skills and detail-orientation with a focus on quality and accuracy
- Strong interpersonal skills;
- Excellent oral/written communication skills;
- Ability to coordinate and/or support multiple events with conflicting timeframes;
- Ability to problem-solve and to think critically;
- Strong client-service orientation and ability to remain professional at all times;
- Capable of working independently, while being a collaborative member of a multi-disciplinary team;
- Must be well-poised and can collaborate with internal partners across many different levels of the organization;
- Strong computer skills with knowledge of MS suite, Canva and project management programs;
- Ability to move, lift, carry, push, pull, and place objects weighing, at times, over 30 pounds without assistance;
- Must possess a valid driver's license and have regular access to a reliable vehicle for transporting event supplies and equipment as required.

- Proficiency in English and French oral expression (advanced level) and comprehension (advanced level).
