Position Summary:
The Head of University Counseling and Office Management is a senior administrative and academic role, responsible for leading the university counseling program, overseeing office management, and supporting the principal with administrative tasks. This role ensures students receive comprehensive university guidance, maintains smooth school office operations, and serves as a reliable point of coordination for the principal.
Key Responsibilities:
University Counseling
- Lead and manage the high school university counseling program.
- Provide individual guidance to students regarding university selection, applications, scholarships, and entrance requirements.
- Organize workshops, seminars, and information sessions for students and parents.
- Track students’ academic progress and readiness for university admission.
- Liaise with universities, admission officers, and external education consultants.
- Maintain records of student applications, outcomes, and reporting metrics
Principal Office Management
- Assist the Principal with daily administrative tasks, scheduling, correspondence, and meeting preparation.
- Serve as the first point of contact for inquiries directed to the principal’s office.
- Prepare reports, presentations, and documentation for the principal.
- Maintain confidential files and ensure proper office workflow.
- Coordinate communication and collaboration among teachers, students, parents, and administrative staff.
Academic Records & Assessment
- Assist principals in reviewing students’ academic records for Prior Learning Assessment and Recognition (PLAR).
- Organize and maintain accurate student information and academic records.
- Supervise or assist in issuing student letters, transcripts, and other academic documents.
Exams & Curriculum Support
- Assist with school timetabling and scheduling.
- Support the preparation and administration of provincial exams, competition exams, A-Level, and IB exams.
- Manage graduate diploma ordering, issuing, and finalization of graduate records.
Qualifications & Skills
- Bachelor’s degree in education, Counseling, Business Administration, or related field; Master’s preferred.
- 3+ years of experience in school administration, university counseling, or office management.
- Strong knowledge of university admission processes (domestic and international).
- Excellent organizational, communication, and interpersonal skills.
- Proficient in MS Office, Google Workspace, and student information systems.
- Proficiency with student information systems and Microsoft Office Suite.
- Knowledge of provincial education policies and international programs (A-Level, IB) is an advantage.
