Your Role in Supporting Our Team:
The Senior Executive Legal Assistant will play a pivotal role in providing comprehensive administrative and legal support to the Chief Legal Officer (CLO) and Vice President, Legal (VP, Legal & Corporate Affairs). This role demands a high level of professionalism, discretion, and organizational expertise, as the successful candidate will be supporting senior executive leaders within the organization’s Legal & Corporate Affairs division. The Senior Executive Legal Assistant will be instrumental in ensuring the smooth operation of executive functions, contributing to the Legal & Corporate Affairs team’s strategic initiatives, and maintaining a high standard of confidentiality and efficiency.
This is an 18-month contract role that will enjoy hybrid working arrangements which can be fulfilled primarily from the Vancity head office location and your Lower Mainland based home office. This role may require you to be on-site at least twice a week.
How You’ll Make an Impact:
Executive Support:
- Serve as a trusted partner to the CLO and VP, Legal & Corporate Affairs, anticipating their needs and proactively managing their schedules, priorities, and commitments.
- Coordinate complex calendars, meetings, and events, ensuring alignment with organizational priorities and stakeholders’ availability.
- Prepare and manage correspondence, presentations, reports, and other documentation on behalf of the CLO and VP, Legal & Corporate Affairs.
- Act as a primary point of contact for internal and external stakeholders, ensuring clear and professional communication.
- Managing inbox triage, drafting responses, prioritizing email actions.
- Flagging risks, deadlines, and operational dependencies.
Legal and Operational Administrative Support:
- Manage confidential and sensitive legal documents, correspondence, and files with the utmost discretion.
- Assist in the preparation, review, and formatting of legal contracts, memos, and other legal materials.
- Coordinate legal filings, maintain up-to-date records, and ensure compliance with document retention policies.
- Liaise with external counsel, regulatory bodies, and other third parties as required.
- Support administrative and operational functions for REFP, including document management, vendor coordination, and compliance tracking.
Project Management and Coordination:
- Support key initiatives within the Legal and Corporate Affairs division by coordinating deliverables, timelines, and resources.
- Assist in tracking and monitoring action items, ensuring timely follow-up and completion.
- Organize and manage board and committee meetings, including agenda preparation, minute-taking, and action item tracking.
- Provide logistical support for facility-related projects and procurement activities, ensuring efficiency and compliance.
- Coordinating divisional events, communications, and engagement initiatives: End-to-end planning, catering, communications, RSVPs, room set-up, A/V support.
Operational Efficiency:
- Identify and implement process improvements to enhance the efficiency of administrative and legal operations.
- Maintain an organized and accessible system for managing legal and administrative documentation.
- Manage departmental budgets, expenses, and invoicing processes as required.
- Oversee administrative processes related to Real Estate, Facilities & Procurement, ensuring alignment with corporate policies and procedures.
Team Collaboration:
- Build strong working relationships with the Legal division team members and other departments across the organization.
- Provide support for ad hoc requests and special projects as assigned by the CLO and VP, Legal & Corporate Affairs.
- Foster a culture of collaboration and continuous learning.
What You’ll Bring to the Team:
- Post-secondary education in legal administration, business administration, or a related field. A Legal Assistant or Paralegal diploma is considered an asset.
- Minimum of 5 years of experience in an executive assistant or senior legal assistant role, preferably supporting C-suite executives in a legal or corporate environment.
- Exceptional organizational and time management skills, with the ability to manage multiple priorities effectively.
- Strong attention to detail and a commitment to delivering high-quality work.
- Excellent written and verbal communication skills.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to maintain confidentiality and exercise sound judgment in handling sensitive information, while maintaining a high degree of professionalism and discretion.
- Proven problem-solving skills, with a proactive and resourceful mindset.
- Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
- Demonstrated adaptability and flexibility to thrive in a fast-paced, dynamic environment.

What You’ll Earn:
This role offers a salary range of $64,500 to $96,500 per annum. The base pay offered may vary depending on factors such as relevant qualifications, skills, previous experience, and internal equity. As part of our total rewards package, employees may also be eligible for our annual incentive program, subject to program eligibility requirements.
