NOW HIRING: Document Controller
We are seeking a dedicated Document Controller to join our team, providing essential administrative support and documentation management for large-scale commercial projects. Initially focusing on the Oakridge commercial development in Vancouver, this role will expand to support multiple projects across the Lower Mainland. The position is crucial for ensuring timely communication and accurate record-keeping among internal teams, subcontractors, and ownership.
Responsibilities
- Manage incoming and outgoing documentation, including emails and records in Procore and internal systems.
- Track and organize change directives, time/material sheets, and purchase orders efficiently.
- Maintain accurate project records and ensure timely communication both internally and externally.
- Support project managers with administrative tasks related to contracts and procurement.
- Assist in preparing reports and documentation for compliance and audits.
- Attend site visits as needed to coordinate with field teams and verify documentation accuracy.
Essential Skills
- 3-5 years of experience in document control or project coordination within construction.
- Proven ability to manage over 100 active documents weekly, including change directives and purchase orders.
- Demonstrated experience using Procore or similar platforms for document management.
- Advanced MS Excel skills, including pivot tables, VLOOKUP, and data validation.
- Ability to process and route incoming documentation within 24–48 hours.
- Maintain 100% traceability of change orders and directives for audit readiness.
- Strong organizational skills to manage multiple project folders and subfolders without errors.
- Effective communication skills to track and report on documentation status weekly.
Additional Skills & Qualifications
- Certification in PMP or a similar field is advantageous.
- Experience in supporting mechanical or fire protection projects.
- Familiarity with Lower Mainland permitting and inspection processes.
Work Environment
The role is based at the Oakridge commercial development site in Vancouver, BC, a large-scale, high-traffic environment with multiple subcontractors and trades. Expect a fast-paced environment with tight timelines, collaborating with team members, subcontractors, and ownership representatives. The position requires being on-site at Oakridge two days a week, with the option to work from home for the remaining days.

Pay and Benefits
The pay range for this position is $35.00 - $45.00/hr.
