About the role
As a key member of the Payroll department, the Payroll Specialist supports end‑to‑end payroll operations for Canadian and US employees, ensuring accurate and timely payments for hourly, salaried, commission, and bonus programs. The role contributes new capabilities—particularly in SAP ECP/ECT—and plays a hands‑on part in validating and improving payroll processes during and after the system implementation. What you’ll be working on
- SAP enablement & testing: Participate in configuration reviews, user acceptance testing (UAT), parallel runs, and defect resolution for the transition from PeopleSoft to SAP ECP/ECT ; document scenarios, results, and remediations.
- Payroll processing: Prepare, validate, and reconcile payroll for Canada and the US—covering hourly/salaried cycles, commissions, bonuses, garnishments, benefits, and statutory deductions.
- Controls & compliance: Maintain strong internal controls; ensure adherence to federal/provincial/state requirements (e.g., CRA/IRS, employment standards, overtime, vacation/leave policies).
- Year‑end activities: Support reconciliations and year‑end reporting (e.g., T4/T4A and US equivalents), audit requests, and statutory filings.
- Data quality & integrations: Monitor master data accuracy and interfaces (time, benefits, HRIS); perform root‑cause analysis and coordinate fixes with IT/HR/payroll colleagues.
- Procedure documentation: Create and update payroll procedures, checklists, and work instructions; contribute to knowledge articles for common scenarios.
- Stakeholder service: Respond to payroll inquiries from employees and managers; partner with Canadian and US payroll supervisors, senior coordinators, and clerks to resolve issues promptly.
- Continuous improvement: Identify opportunities to streamline steps, reduce manual work, and enhance reporting within SAP ECP/ECT.
We’re looking for someone with
- Post‑secondary education in Accounting, Business Administration, HR, or related field.
- Payroll certification (e.g., Canadian Payroll Association / National Payroll Institute PCP/CPM , APA FPC/CPP ) is an asset.
- 3–5+ years of payroll experience in medium/large organizations (preferably 500+ employees ), with exposure to both Canadian and US payroll.
- Prior participation in a payroll system implementation or upgrade is highly desirable.
Reporting Structure
- Reports to: VP, Finance & Administration
Works with: Payroll team in Canada, US, and HR/IT teams
The candidate will supervise 4 employees in Canada and 2 in the U.S.
Skills
- Practical experience with enterprise payroll systems (SAP ECP/ECT experience required; PeopleSoft experience an asset).
- Solid knowledge of Canadian and US payroll rules (taxation, employment standards, deductions, benefits, and year‑end reporting).
- Strong analytical skills with proficiency in reconciliations, variance analysis, and defect troubleshooting .
- High attention to detail; ability to work within strict deadlines across multi‑jurisdiction environments.
- Clear, professional communication and teamwork; ability to collaborate effectively with peers and stakeholders.
- Superior level of proficiency with Excel and payroll reporting.
- Familiarity with testing methodologies/implementing systems (UAT, parallel, regression) is an asset.
- Bilingual (French/English) is strongly preferred.
