With a strong focus on Labour and Employment law, the firm has built a reputation for providing practical, strategic, and high-quality legal services.
Responsibilities
- Provide comprehensive administrative and clerical support to assigned lawyers.
- Schedule appointments, arbitrations, and appearances, and coordinate meetings and conferences.
- Receive, prioritize, and track incoming correspondence and deadlines.
- Manage the flow of work through the lawyers’ offices, including handling routine correspondence and follow-ups.
- Prepare, format, proofread, and review legal documents and correspondence to ensure accuracy and compliance with legal procedures.
- Prepare and file forms with the Ontario Labour Relations Board (OLRB), Grievance Settlement Board (GSB), and Human Rights Tribunal Ontario (HRTO).
- Arrange for service and filing of legal documents.
- Process invoices, expense reports, and prepare file status and work-in-progress reports.
- Maintain filing systems, including a tickler system, and ensure proper file opening, maintenance, and closure procedures.
- Enter dockets and prepare time summaries and reports as needed.
- Make travel arrangements for lawyers.
- Provide support to other lawyers as required.
Requirements
- 3–5 years of legal administrative experience, ideally in Labour and Employment law.
- Strong knowledge of Labour Board procedures and timelines.
- Excellent written and verbal communication skills, with strong attention to grammar and detail.
- Highly organized with the ability to prioritize tasks, meet deadlines, and adapt to changing priorities.
- Proven ability to work independently and collaboratively.
- Strong discretion and ability to handle confidential information.
- Proficiency in Microsoft Word, Excel, PowerPoint, Adobe Pro, and experience with document management and time entry systems (e.g., NetDocuments, Soluno) considered an asset.
- Accurate keyboarding skills (55+ wpm).
- Demonstrated sound judgment, professionalism, and a strong work ethic.
- Ability to work overtime when required.
