Office Manager
Job Description:
Our Architectural firm is seeking a highly organized and professional Office Manager to join our office. This multifaceted role requires a proactive individual capable of managing front desk operations, handling administration and bookkeeping tasks, and providing exceptional customer service. The ideal candidate will possess strong office management skills, proficiency in various software tools, and the ability to multitask effectively in a fast-paced environment. Bilingualism is required. This position offers an excellent opportunity to contribute to the smooth operation of our office.
Your Day-To-Day
· Greet visitors and manage front desk responsibilities with professionalism and courtesy;
· Provide customer support through answering emails, multi-line phone systems, and in-person interactions, ensuring excellent service standards;
· Schedule appointments and manage calendar for staff and clients using Microsoft Office tools;
· Perform data entry, filing, and maintain accurate records using Sage and other office management software;
· Handle billing, invoicing, and bookkeeping tasks with attention to detail;
· Proofread documents for accuracy and clarity before distribution.
· Assist with office management tasks such as supply ordering, organization of files, and general administrative support.
· Support personal assistant duties as needed, including calendar management and document preparation;
· Assist with office website and social media updates;
· Organize staff events and track staff records;
· Maintain a clean, organized reception area to promote a welcoming environment;
Qualifications
· Proven experience in office administration, clerical work, or related roles with strong organizational skills;
· Proficiency in Sage, Microsoft Office (Word, Excel, Outlook), and data entry tools;
· Excellent phone etiquette with experience managing multi-line phone systems;
· Bilingual abilities are highly desirable to serve diverse client needs effectively;
· Strong typing skills and computer literacy necessary for efficient workflow;
· Attention to detail in proofreading and document management;
· Ability to handle multiple tasks simultaneously while maintaining professionalism under pressure;
· Excellent customer service skills with a friendly demeanor and effective communication abilities;
