Responsibilities
- Provide comprehensive clerical, administrative, and general office support to assigned lawyers.
- Coordinate schedules, including appointments, hearings, arbitrations, and meetings with clients, boards, and external parties.
- Manage all incoming mail; redirect, track, and prioritize items, ensuring deadlines are recorded and met.
- Organize and expedite workflow ensuring smooth file and task progression.
- Draft, format, revise, and proofread legal documents and correspondence with a high degree of accuracy.
- Prepare forms and documentation for the OLRB , GSB , and HRTO based on instructions, precedents, and procedural requirements.
- Arrange proper service and filing of board and tribunal materials.
- Process invoices, prepare expense reports, create file status reports, and assist with pre-bill and work-in-progress documentation.
- Transcribe dictation when required.
- Maintain organized filing systems, including confidential materials and tickler systems, ensuring compliance with legal recordkeeping procedures.
- Enter daily dockets, prepare time summaries, and generate reports as needed.
- Follow proper file-opening and closing procedures, coordinate the closing process, and organize storage of completed matters.
- Make travel arrangements such as booking flights, hotels, and rental vehicles.
- Provide additional administrative or secretarial support to other lawyers when capacity permits.
Qualifications
- 3–5 years of legal administrative experience , ideally within Labour & Employment law.
- Exceptional written and verbal communication skills, with strong grammar, spelling, punctuation, and proofreading abilities.
- Solid understanding of tribunal and board procedures, including time limitations and filing rules.
- Highly organized, able to prioritize effectively, meet deadlines, and manage multiple tasks in a fast-changing environment.
- Strong ability to work independently with minimal direction while also collaborating effectively with shared teams and multiple lawyers.
- Demonstrated discretion and sound judgment when handling confidential information.
- Outstanding attention to detail and a commitment to producing error-free work.
- Excellent client service skills and professional communication with both internal and external stakeholders.
- Keyboarding speed of 55+ wpm with high accuracy.
- Proficiency with Microsoft Word, Excel, PowerPoint, and Adobe Pro .
- Experience with NetDocuments , Soluno , and time management systems such as Tikit/Soluno is an asset.
- Completion of a legal office administration or office procedures program is preferred.
- Ability to operate standard office equipment efficiently.
- Ability to remain calm, professional, and sensitive when dealing with stressful or challenging client situations.
- Reliable, respectful, honest, and trustworthy, with strong work ethics.
- Willingness to work overtime when required.
