Our client is hiring a New Home Sales Administrator to join our team. This is a fantastic opportunity for someone who has previous experience in the new home building industry and looking to make the next step within their career.
The main focus of this role is to work closely with the Vice President of Sales & Marketing by supporting all aspects of the sales cycle. Primarily you will be responsible for day-to-day sales administration which includes project tracking, entry of agreements into NewStar sales, tracking of deposits and amendments, managing deal files, sales reporting and acting as a head office liaison for existing project sales teams.
The ideal candidate will have a data entry/administrative background with previous experience working ideally with either a new home builder, Real Estate brokerage or associated business. Working knowledge of NewStar is an asset as well as a good understanding of MS Office packages.
Candidates must be organized, with strong time management and multitasking skills. An excellent communicator both written and spoken is essential, as well as being a motivated self-starter with a strong work ethic.

Key Responsibilities and Accountabilities:
- Receive and Maintain suite files from sales office, both digital and/or paper
- Following up with appropriate sales office/agent for any outstanding documents
- Approve new deals in NewStar Sales, checking all documents for accuracy and ensuring file is complete
- Oversees and approves external broker commission payments
- Management and coordination of deposit cheques between sales office, accounting and lawyers’ offices
- Track NSF and missing deposits cheques, following up with sales office/agent for replacements
- Draft amendments as required, sending to sales office/agents to complete with purchaser
- Forwarding completed sales files to selected lawyers monthly
- Assist in assembling required documentation to support construction financing, as required
- Coordinates and oversees the administrative set up of sales centers
- Ensures systems and IT requirements are set up and operating for new sales centers.
- Works with other internal departments to collect and/or create documentation for new communities
- Completion of digitization and file audit for communities not already fully digitized
- Assist with new sales launches and events, as required
- Assist with administration of the Brokerage
- Support the Customer Care department with document requests
