SUMMARY OF DUTIES
Reports to the Senior Project Manager, Innovation, maintain the integrity, governance, and traceability of all asset-related data across the City’s Enterprise Asset Management (EAM) system (Infor Hexagon). This position ensures consistent application of data standards, classification, and hierarchies, supporting reliable reporting, capital forecasting, and compliance with provincial legislation.
Performance will be measured through achievement of defined metrics for assigned projects including maintaining a ≥ 90% asset data completeness across all departments, achieving <= 1% data error rate detected during quarterly audits, 100% compliance with approved asset data standards, turnaround time for data or enhancement request < 5 business days, and annual data maturity improvement targets met (aligned to continuously improving asset management maturity roadmaps).
GENERAL DUTIES
Responsible for maintaining the integrity and governance of all asset-related data within the City’s Enterprise Asset Management (EAM) system.
Ensures consistent application of data standards, asset hierarchies, and performance classifications across all EAM business units (e.g., Water, Transit, Parks, Facilities, Fleet, Roads, etc.).
Supports corporate outcomes in asset
reliability, fiscal stewardship, and continuous improvement by ensuring all data used for service delivery and capital forecasting is accurate, traceable, and aligned with corporate standards.
Organizational Interactions:
Works closely with and collaborates with divisional Asset Management Leads, Finance (for GL codes and capitalization), IT (for data integrations and EAM configurations), GIS, and Procurement.
Coordinates and works with system vendors (e.g., Hexagon, GIS vendors, and system integrators) to ensure compliance with configuration, uphold data standards and system performance.
Organizational outcomes include reliable and standardized asset data enabling evidence-based decisions, risk-based investment planning, and compliance with O.Reg. 588/17.
All EAM roles contribute directly to the City’s Asset Management and Transformation outcomes by:
Enhancing data quality and reliability across all infrastructure classes.
Supporting compliance with legislative and corporate AM standards.
Driving efficient service delivery through optimized system and process performance.
Building organizational capacity and continuous learning within EAM and AM functions.
Develops and maintains asset data standards and classification schemas.
Audits and monitors asset data for completeness, accuracy, consistency, and alignment with O.Reg. 588/17.
Coordinates and collaborates with EAM teams and divisional asset leads to resolve discrepancies in data and structure.
Establishes governance and change management protocols for asset registry updates. Enforce change management protocols for registry updates.
Supports capital planning and lifecycle modeling through standardized and validated datasets with clean and structured data.
Partners with IT, GIS, and Finance to ensure integrations and data linkages are properly maintained.
Performs other duties as assigned which are related to responsibilities of the job.
QUALIFICATIONS
- Proven knowledge of the theories and practices of EAM concepts and must be able to demonstrate a level of expertise related to the duties above. This is normally acquired by Graduation from a recognized University Degree in Engineering, Computer Science, Data Science or related discipline, or an equivalent combination of education and progressive work-related experience.
- Professional certifications in Asset Management are an asset.
- Considerable experience (preference for five years) in asset data governance roles with computerized maintenance management systems, enterprise asset management systems, or similar roles with technology solutions that optimize maintenance activities, minimize equipment downtime, and ensure peak asset reliability for public or private infrastructure systems.
- Demonstrated experience in data visualization techniques, business intelligence software, data analysis and statistical tools.
- Strong understanding and knowledge of asset management principles, ISO 55000, O.Reg. 588/17.
- Significant experience with data models in Infor EAM.
- Detail-oriented with strong documentation and audit skills.
- Understanding of GIS and financial asset data integrations.
- Must be detail oriented and have excellent communication, interpersonal, analytical, and problem-solving skills.
- Demonstrated ability to work well independently and as part of a team.
- Intermediate working knowledge of Microsoft Access, Word, Excel and PowerPoint.
- Must possess a Class “G” Driver’s License.
Working Conditions
- This position has variety of remote, hybrid and on-site expectations.
- Office locations and fieldwork involvement may change depending on assignments.
- Use of municipal vehicles, field devices and mobile apps is required.
- On call or after-hours support may be required up to 10% of the time.
THIS POSITION REQUIRES A VALID CLASS "G” DRIVER'S LICENCE AND PROOF THEREOF IS REQUIRED AFTER HIRE.
