Job Information And Responsibilities
Under the direction of the Assistant Registrar, Student Systems, the Student Systems Officer will:
- Lead the development, maintenance, and governance of system documentation for all student-related systems, ensuring materials are accurate, current, consistent, and aligned with institutional standards and policies
- Manages the Student Systems documentation repository, including version control, accessibility, and periodic reviews.
- Provides cross-functional support within Enrolment Services by documenting and standardizing key processes.
- Develops and maintains a centralized Student Systems webpage to support training, self-service learning, and system communications.
- Designs, coordinates, and delivers training sessions for end users, including group workshops, targeted sessions, and one-on-one support, with appropriate follow-up resources.
- Proactively engages with system vendors by monitoring vendor communications, release notes, and websites for system upgrades, patches, and new functionality.
- Communicates relevant system updates, risks, and opportunities to Functional Analysts and the Assistant Registrar, Student Systems.
- Investigates and evaluates new or enhanced system functionality within existing platforms and provides recommendations regarding implementation and operational impact.
- Serves as the primary authority for student systems access administration, ensuring compliance with institutional privacy, security, and data governance policies.
- Reviews, approves, and administers access requests for Banner and integrated systems, including CRM Recruit, CRM Advise, Courseleaf, and Degree Works.
- Supervises and schedules student employees, providing training, guidance, and performance feedback related to Student Systems support functions.
- Coordinates Student Systems support for key university events and initiatives that impact the student journey.
Experience And Education Requirements
To be the successful Student Systems Officer you will have:
- University Degree
- Minimum two (2) years of directly related work experience
- Experience with Banner, CRM and Microsoft Dynamics 365 is considered an asset
- Proficiency with Microsoft Office Suite (including PowerPoint, Excel, Word), Banner, Teams, Zoom; ability to quickly learn other software/platforms as required.
- Excellent customer service and interpersonal skills.
- Superior organizational, oral and written communication skills.
- Ability and desire to establish positive relationships with staff, faculty and students from diverse backgrounds.
- High level of personal integrity and professional initiative.
- Strong work ethic and adherence to a respectful workplace.
- Ability to work occasional evenings and/or weekends as required
