Position Summary
We are seeking an experienced and highly organized
MOA-IVF to support our clinic. This role focuses on administrative coordination to ensure efficient clinic flow and support the nursing team throughout fertility treatment cycles, reporting to the Nurse Manager.
This role will not typically involve in-person patient interactions and will involve a high degree of desk/computer work.
What You’ll Be Doing
Patient Coordination
- Manage high-volume phone lines, emails, and patient inquiries
- Support scheduling of procedures and in-clinic appointments related to IVF treatment cycles
- Maintain patient confidentiality and provide clear communication regarding clinic processes
- Coordinate distribution of patient information packages and provide updates on next steps in treatment
Administrative Support for IVF Treatment Flow
- Ensure all required documentation and consents are completed
- Prepare and organize patient charts and electronic records for clinical staff
- Liaise with nursing staff and interdisciplinary team members to support patient care
- Track and update patient progress through treatment cycles
Medical Records & Data Management
- Input and maintain accurate patient data in EMR systems
- Access and retrieve patient information via secure portals and fax
- Ensure timely documentation and compliance with clinic protocols

Education & Experience
- High school diploma required
- Completion of a Medical Office Assistant (MOA) certificate/diploma or equivalent
- Minimum 2 years of experience in a medical office or administrative setting
- Experience in fertility, women’s health, or a clinical environment preferred
- Experience with Alberta Netcare and EMR systems preferred
- eIVF experience is an asset
- Experience working in a high-volume environment
Knowledge & Skills
- Ability to work independently and within a team
- Strong communication skills (written and verbal)
- Proficiency with EMR systems and standard office tools
- Strong organizational and time management skills
- Attention to detail and accuracy
- Ability to prioritize in a fast-paced environment
