As our first point of contact for Med-Eng, you will be responsible for answering phones, greeting guests and performing a variety of administrative duties to support various departments.
Duties & Responsibilities
Administrative Duties
- Handles incoming calls and responds to general enquiries; transfers or redirects as necessary.
- Occasionally paging over public address system.
- Greet visitors and direct to appropriate contacts within the organization.
- Controls and tracks visitor/contractor’s badges and logbook.
- Send, receive and distribute daily mail, faxes and courier packages.
- Processes outgoing mail and post daily.
- Maintains postage level in postage machine.
- Maintain Corporate Kitchen– inventory of supplies, emptying dishwasher, etc.
- Ensure Meeting Rooms are clean – Replace Tablecloths if necessary.
- Prints and posts daily calendar and back-up for approving calendar requests,
- Order office supplies and other items as requested.
- Assist with packaging and shipments of small spare parts (RMA)
- Prepare shipping labels/ and shipments for outgoing courier packages along with packing lists and commercial invoices with guidance from the Logistics Team.
- Assist with special projects assigned by Supervisor.
Departmental Assistance
- Processing the LORs pickup and delivery between the Global Affairs Canada and the Embassies.
- Provides administrative support with printing, photocopying, catering, etc. to other departments as required.
- Provide Administrative Support to Sales Coordinators, Marketing & Customer Support Teams as required.
- Create Shipping & Purchase Requisition forms when requested
Hiring Requirements
- A minimum of two years’ experience in an office environment.
- Secondary school diploma or equivalent.
- Intermediate computer skills, including Microsoft Office, Outlook, Outlook Scheduling. Word, Excel, Internet.
- Excellent communication skills in both oral and written English.
- Must have exceptional Customer Service skills, with the ability to interact/communicate effectively, tactfully and diplomatically with internal and external customers.
- Ability to independently manage and organize work activities.
