Role Overview
The Quality Assurance Coordinator supports organization-wide quality, compliance, and occupational health and safety programs. This role conducts Support Home inspections, identifies and follows up on deficiencies, coaches employees, supports WCB/WSIB reporting and return-to-work processes, and collaborates across departments to strengthen safe, consistent, and high-quality service delivery.
Compliance Inspections
- Complete quality assurance inspections at least monthly in all Support Homes.
- Prepare timely inspection documentation that records successes, deficiencies, and required corrective actions.
- Provide on-the-spot coaching, training, and clear guidance to employees.
- Follow up promptly on significant deficiencies and support accountability for maintaining standards.
- Complete as-needed inspections related to major audits or on-site vendor reports.
- Collaborate with Client Care, Maintenance, Finance, and other program areas to support successful outcomes.
- Ensure Support Homes operate in accordance with legislation, standards, and IHACSS policies.
Health & Safety
- Coordinate health and safety orientation, training, job-site inspections, and reporting.
- Monitor legislative changes and recommend updates to organizational practices, policies, and the Health and Safety Manual.
- Conduct hazard analyses, review safe work procedures, and prepare written reports and recommendations.
- Monitor adherence to the IHACSS safety program by employees and subcontractors.
- Collaborate with WCB/WSIB Case Managers, prepare required employer reports, and facilitate return-to-work or modified-work arrangements.
- Support accident, injury, near-miss, and critical incident investigations and identify opportunities for prevention.
- Provide safety briefings and practical advice to employees and management.
- Participate in and promote the IHACSS Joint Health and Safety Committee.
Culture, Coaching & Collaboration
- Be a positive role model and advocate for individuals receiving services.
- Promote respectful, professional relationships, healthy boundaries, teamwork, trust, and integrity.
- Coach and mentor employees, provide in-the-moment skill development, and support conflict resolution and debriefing after serious incidents.
- Promote employee and individual safety, wellness, learning, and professional development.
- Collaborate with IHACSS managers, administration, and program teams to support cohesive operations and quality outcomes.
Policy, Standards & Legislation
- Maintain working knowledge of IHACSS policies, procedures, and the Health and Safety Manual.
- Maintain knowledge of accreditation standards, Supportive Living Accommodation Standards, and applicable occupational health and safety legislation.
- Respond promptly to organizational communications and maintain all required credentials and certifications.
- Promptly report suspected abuse, violence, discrimination, bullying, harassment, and other safety concerns.
Continuous Quality Improvement
- Attend required team and Client Care meetings.
- Participate in mandatory training and maintain certifications.
- Support accreditation processes and vendor audits.
- Guide front-line employees on IHACSS policies, procedures, and expectations.
- Perform other related duties assigned to support organizational needs.
Working Conditions
- Regular travel to Support Homes and other IHACSS locations is required.
- Regular hours are Monday to Thursday, 8:30 a.m.–4:00 p.m., and Friday, 8:30 a.m.–2:30 p.m.; additional hours may be required based on operational needs.
- The role involves frequent inspections, documentation, employee coaching, meetings, and time-sensitive follow-up.
- Work includes handling confidential employee, safety, incident, and client-related information.
- May involve participating in serious-incident debriefing, investigations, and conflict-resolution processes.
- Must follow all workplace health and safety, infection prevention, and organizational policies.
Qualifications
Education
- Bachelor’s degree in safety management, occupational health, or a related field.
- Certified Safety Professional (CSP), Occupational Health and Safety Technologist (OHST), or comparable certification is a strong asset.
Experience
- Minimum two years of experience in occupational health and safety, quality assurance, compliance, or a related coordination role.
- Experience conducting workplace or Support Home inspections and preparing clear reports and corrective actions.
- Experience implementing safety programs, policies, training, and coaching.
- Experience supporting incident investigations, WCB/WSIB reporting, and return-to-work or modified-work arrangements.
- Experience in supportive living or another regulated human-services environment is an asset.
Knowledge, Skills & Abilities
- Strong knowledge of occupational health and safety legislation, supportive living standards, accreditation requirements, and hazard-control practices.
- Ability to inspect sites, analyze hazards and incidents, identify deficiencies, and recommend practical corrective actions.
- Excellent written communication and documentation skills for inspection reports, policies, procedures, manuals, and regulatory reporting.
- Effective interpersonal training, coaching, and conflict-resolution skills.
- Sound judgment, attention to detail, and the ability to manage confidential information, competing priorities, and time-sensitive follow-up.
- Proficiency with Microsoft Office and electronic systems used for communication, documentation, and compliance tracking.
