Job Title: Office Administrator/Receptionist (On-site)

Employment Type: Full Time, Permanent (44 hours per week)
Hours: Monday - Thursday (8:30 AM to 6:00 PM), Friday (8:30 AM to 5:00 PM)

As our Office Administrator/Receptionist, you will be the first friendly face at the studio when guests and team members arrive onsite. You play an important role in ensuring the studio runs smoothly and both clients and staff experience exceptional service. We are looking for someone who is reliable, proactive and passionate about creating a top tier client experience.

What You’ll be Doing:
- Greet and welcome visitors and clients with a friendly and professional demeanour.
- Answer and direct phone calls, taking messages as needed.
- Manage incoming/outgoing mail and packages and ensure timely distribution.
- Maintain a clean and organized reception and kitchen area.
- Provide administrative support, such as filing, data entry, and managing office supplies.
- Prepare coffee and refreshments for clients, visitors, and employees.
- Managing staff and guest access security passes.
- Coordinate transportation arrangements as requested, such as arrange private car or taxi transportation.
- Ensure the security of the building is maintained during main business hours, including checking for entry passes and managing staff/visitor parking registry.
- Report any suspicious activity and/or breach in building security immediately
- Provide a first-class hospitality service to clients visiting the studio.
- Provide support to other team members as needed.
Qualifications:
- 1-3 years of experience as Office Administrator or Receptionist.
- Exceptional communication and organization skills.
- Able to multi-task and prioritize urgent matters.
- Proactive, Dependable and Punctual.
- Basic computer skills and basic level of proficiency in MS Office Suite and ability to learn post production basics.
- Friendly and positive attitude with a commitment to providing exceptional client service.
