About the job:
- Assist the team leader to ensure that projects adhere to established timelines and meet the requirements outlined in project charters and schedules, while maintaining accurate project status records from initiation to closure in the internal system.
- Assist the team leader and HRBP with budget preparation, estimation, execution, and evaluation; generate monthly budget forecasts; prepare monthly reports, and proactively communicate potential risks or issues to relevant stakeholders.
- Serve as the primary point of contact between the Waterloo project team and the HQ/PMO office.
- Prepare key planning documents such as Statements of Work (SOW), resource plans, meeting minutes, etc.; monitor project progress and report on any deviations to ensure timely completion of all activities and tasks.
- Coordinate and schedule team meetings and ensure proper organization and maintenance of project documentation.
- Provide administrative support and collaborate with the Executive Assistant on team budgeting, as well as organizing team-building activities throughout the year.
Job requirements
About the ideal candidate:
- Bachelor's degree in Business Administration, Project Management, or related field.
- 5 years of experience in project management or administrative support, with a focus on task management and alignment with company strategy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., Microsoft Project, Trello, Asana).
- Strong intercommunication skills and be able to work with teams in different time zones while multi-tasking in a fast-paced environment.
- Strong sense of maintaining confidentiality and building trusted relationships in a collaborative team environment.
- Strong attention to detail, problem-solving skills, and knowledge of project management principles (PMP or CAPM certification is an asset).
