Position Summary
As an Office Administrator, you will be part of an administration team that provides high-quality administration services to multiple clients and demonstrates outstanding and timely customer service. You will have access to and regularly work with information that is highly confidential and critical in nature. As an Office Administrator, you must be professional and highly organized, possess excellent communication skills, demonstrate a strong work ethic, and have the ability to work independently.
Key Responsibilities
- Supervise daily support center activities to ensure smooth and efficient administrative operations
- Oversee the management of office supplies, equipment, and facilities to foster a productive work environment
- Inspire and guide the Support Center team to meet performance objectives
- Regularly perform reviews and assessments for team members, offering constructive feedback and pinpointing areas for growth
- Deliver findings and insights to senior leadership, accompanied by strategic recommendations for improving operational efficiency and customer satisfaction
- Create and enforce office policies and procedures to boost efficiency and ensure compliance
- Interface with external vendors, and stakeholders as needed
- Ensure adherence to health and safety protocols within the office setting
- Manage and allocate staff parking assignments
- Coordinate the printing and distribution of large mailouts
- Contribute to team effort by completing other administrative tasks or projects as assigned
- Perform any other duties needed to help drive our Vision, fulfill our Mission, and adhere to our Organization's Values
Requirements
- Post-secondary diploma in a related field, such as business administration, or equivalent training obtained through a combination of relevant work experience and education
- Minimum of 3 years of work experience or equivalent training
- Capability to maintain professionalism and discretion while working within a dynamic team environment
- Attention to detail with a dedication to producing accurate work
- Strong verbal and written communication skills for professional engagements with visitors, clients, members, and colleagues
- Excellent customer service skills, including a proactive approach to providing comprehensive service and information in response to inquiries
- Ability to multitask and handle unexpected situations effectively while troubleshooting issues
- Outstanding organizational skills with the capability to prioritize tasks efficiently, ensuring compliance with company service standards and response times
- Well-developed analytical, decision-making, and problem-solving skills
- Flexible and adaptable to various situations
- Comfortable working independently with minimal supervision as well as collaboratively within a team
- Proficiency in Microsoft Office and knowledge of standard office administration procedures
- Ability to comply with existing company policies and procedures
- Capacity to use discretion and tact to keep information strictly confidential
- Successful completion of a clear criminal background check is necessary
