The HR Administrator is considered a global resource that will focus on maximizing the use of BambooHR, ensuring data integrity, system optimization, and seamless global HR processes. Additionally, this position will spend 8-10 hours per week supporting Canadian HR administrative functions. This role requires strong systematic thinking, attention to detail, and the ability to support HR teams worldwide through training, documentation, and day-to-day system support. This is a hybrid role with 2-3 days a week in Markham, ON and will be reporting to the HRIS Manager.
Responsibilities
- Collaborate with the HRIS Manager to maintain a strong relationship with BambooHR, ensuring full utilization of the platform. Provide feedback and product suggestions to BambooHR to advocate for system enhancements that meet company needs.
- Support the HRIS Manager in developing and maintaining processes that comply with ISO and GDPR standards. Assist in the creation and upkeep of system documentation, user manuals, and training materials.
- Maintain assigned HRIS modules(e.g., ATS, onboarding/offboarding, training etc.) to ensure system settings align with company policies and HR best practices. Partner with regional HR teams to update and maintain HR policies within BambooHR.
- Conduct regular audits to ensure data accuracy, consistency, and completeness. Advise HR teams on required data corrections and collaborate with IT and Finance counterparts to maintain data integrity across integrated systems.
- Provide day-to-day support to global HR teams by troubleshooting issues and answering questions related to assigned BambooHR modules. Escalate complex issues to the HRIS Manager as needed.
- Act as the lead trainer on all Bamboo topics. Training requirements include, but are not limited to, onboarding new HR staff, management training, training on new features and/or processes, and refresher training.
- Prepare and distribute quarterly standard reports, including the global Headcount file and Time Off Liability report.
- Provide support to the HRIS Manager and HR Team on corporate-driven projects, such as reorganizations, performance/salary reviews, acquisitions, etc., as needed.
- Support our Canadian HR Manager with various administrative tasks, which include but are not limited to, onboarding functions, benefit administration, documentation uploads, etc.
- Perform additional tasks related to BambooHR usage and maintenance, as required.
Requirements
- Any graduate degree and at least 2-3 years of proven experience with BambooHR or similar/any HRIS platforms.
- Experience in an HR generalist role with a strong understanding of HR processes.
- Strong analytical and problem-solving skills with attention to detail.
- Excellent communication and interpersonal skills, with the ability to train and support global HR teams.
- Knowledge of compliance requirements (e.g., ISO, GDPR) is an asset.
- Knowledge of Canadian labour legislation required.
- High proficiency in Excel, including advanced functions such as VLOOKUP and PivotTables, is mandatory.
- Demonstrated capacity to leverage Excel for data analysis and experience generating HR reports.
- Ability to work independently and manage multiple tasks effectively.
- Legally eligible to work in the country without sponsorship.
