What is the opportunity?
Based in Calgary, Toronto or Ottawa, the Proposal Administrator reports to the Proposal Team Manager.
The role supports the proposal and business development (BD) enablement teams in maintaining organized information, sourcing new opportunities, and supporting the firm's business development efforts through administrative support.
- Conduct Bid Mining Searches daily, verify opportunities align with the firm's service offerings and business goals, fill out templates, and distribute the opportunities to appropriate mailing lists for the pursuit decision process.
- Update distribution list and procurement websites for opportunities tracking for BD reporting.
- Maintain payments and submission requirements on procurement sites.
- Maintain up to date documentation requirements on procurement/vendor sites to verify compliance.
- Support internal document management to maintain up-to-date information (such as licenses, insurance, policies, financial reports, etc.).
- Conduct regular opportunity tracking in SharePoint, identify major projects, maintain updated distribution lists and metrics as required.
- Conduct weekly reports using internal reporting tools for opportunity and project status updates and maintaining data hygiene.
- Collaborate with the Marketing and Communication team to update company project and personnel information (project sheets, firm resumes).
- Coordinate with AI Team (WorkOrb) to provide latest information to the system (project sheet information, CV information, latest proposal samples, etc.),
- Collaborate with internal resources and AI Team to assess the AI software efficacy and propose efficiencies for the bid mining process and other data management improvements.
- Support BD regional reps with scheduling BD meetings, prepare meeting minutes for BD regional meetings.
- Support for BD enablement team tracking for events and conferences, client appreciation events, charitable donations, sports tickets, holiday gifts and other social events.
Requirements
Skills and Competencies
- Minimum 1-2 years of experience working within a proposal or BD team is required.
- Experience working in the Architecture, Construction, or Engineering industry is an asset. All other professional service experience will still be considered.
- Experience in documenting meeting minutes, developing presentations, maintaining information databases.
- Exceptional writing, editing and proofreading skills.
- Experience working with Microsoft Word, PowerPoint, and Adobe InDesign. Experience working with SharePoint and Adobe Creative Suite is an asset.
- Ability to conduct research and analyze data to align with the company's strategic goals.
- Ability to effectively deliver quality work with a sense of urgency and a high degree of attention to detail.
- Ability to communicate effectively (verbal and written) with individuals at all levels of the organization as well as external parties.
- Good judgement and problem-solving skills with the ability to work in a team environment.
- Flexible and open to changing priorities and managing multiple tasks.
- Ability to work overtime if needed. We work hard to maintain a good work-life balance, but overtime may be needed on specific submissions or busy periods.
- Able to have fun and love their work!

Education
- Diploma or post-secondary degree (preferred: Business, Marketing, Communications, English).

How does collaboration happen?
All positions require in-office presence 3 days a week. Building strong relationships and collaborating internally is important to us! Collaborate virtually for the remainder of the week.
