JLL is seeking a dynamic Operations Coordinator to support our Mobile Engineering Services Team in Canada. As the backbone of a nationwide group of operators, you'll play a crucial role in ensuring our team has everything they need to excel in their daily activities. Your exceptional organizational skills and meticulous attention to detail will be the key to our success. We're looking for a customer service champion with outstanding communication skills, capable of supporting team members in both English and French. Your ability to juggle multiple tasks and provide seamless administrative support will be invaluable in this fast-paced environment. This remote-based position offers the flexibility to work from either Toronto (GTA) or Montreal, allowing you to contribute to our innovative team from the comfort of your home office. WHAT YOU’LL BE DOING: Assist with regional recruiting, on-boarding and maintaining new hire tracker. On-board new hires: obtain information and forms from new hires, communicate new hire information internally; update Corrigo; fleet & support; order p-card, uniforms, badge, tools, supplies, et.al. Process exiting employees from various systems and tools: Samba (MVR program), Abukai, Corrigo systems; fleet, p-card cancellation, PTO/TBT trackers, employee directory, etc. On-going updates of systems and records (Corrigo, employee directory, fleet program, Abukai, SAMBA, etc.) Order and manage replacement badges, uniforms, fleet insurance cards, fuel cards, registration renewals and transfers, etc. Review and provide SAMBA (MVR) report periodically to operations managers. Update PTO tracker for region, as requested. Craft “Special Recognition” honors in MES SharePoint for employees in assigned region(s). Assist with work order updates/status in certain client specific Corrigo instances. Update fleet program website with assigned driver information. Order office supplies from appropriate/authorized supply vendor for technicians and others, as needed. Toolbox Talks Tracking. Refrigerant Log Tracking. Assist as needed, with p-card reconciliations and missing receipts. Attend meetings. Ad hoc and on-going support to manager and operations technicians, managers, leadership and other MES support teams. Assist and back-up support to others on the OC Team. Special projects/other duties as assigned (for example, but not limited to, payroll, uniform management, SharePoint, Corrigo operational and financial support, Abukai, etc.) WHAT YOU BRING Minimum of 3 years experience with data entry, operations support, and customer service. Bi-lingual in English and French (if not, fluent in French, require high proficiency). Strong customer service skills, internal and external to organization. Working knowledge of Microsoft Office Suite, Word, Excel, and PowerPoint. Strong attention to detail and prioritization skills to manage workload and meet critical deadlines. Excellent oral and written communication skills are essential for success in this position. High degree of professionalism, confidentiality and discretion. Nouvelles recrues à bord : obtenir de l’information et des formulaires des nouvelles recrues, communiquer de l’information sur les nouvelles recrues à l’interne; mettre à jour Corrigo; flotte et soutien; commander des cartes, des uniformes, un insigne, des outils, des fournitures etc. Gérer le processus de départ des employés en utilisant divers systèmes et outils : Samba (programme MVR), Abukai, systèmes Corrigo; flotte, annulation des cartes de paiement, suivi des PTO/TBT, répertoire des employés, etc. Mises à jour continues des systèmes et des dossiers (Corrigo, répertoire des employés, programme de flotte, Abukai, SAMBA, etc.) Commander et gérer des insignes de remplacement, des uniformes, des cartes d’assurance de parc automobile, des cartes de carburant, des renouvellements et des transferts d’immatriculation, etc. Examiner périodiquement les rapports du SAMBA (MVR) et les remettre aux gestionnaires des opérations. Mettre à jour le suivi des PTO pour la région, tel que demandé. Craft « Special Recognition » dans MES SharePoint pour les employés des régions désignées. Aider à la mise à jour des ordres de travail ou à l’état d’avancement dans certains cas précis concernant Corrigo. Mettre à jour le site Web du programme de parc automobile avec les renseignements sur les conducteurs assignés. Commander des fournitures de bureau auprès d’un fournisseur de fournitures approprié / autorisé pour les techniciens et autres, au besoin. Boîte à outils - Suivi. Aider et soutenir les autres membres de l’équipe du crime organisé. Projets spéciaux / autres tâches assignées (par exemple, la paie, la gestion uniforme, SharePoint, le soutien opérationnel et financier de Corrigo, Abukai, etc.). CE QUE VOUS APPORTEZ Au moins 3 ans d’expérience en saisie de données, en soutien opérationnel et en service à la clientèle. Bilingue en français et en anglais (sinon, maîtriser le français exige une grande maîtrise). De solides compétences en service à la clientèle, tant à l’interne qu’à l’externe. Connaissance pratique de Microsoft Office Suite, Word, Excel et PowerPoint. Un grand souci du détail et des compétences en hiérarchisation pour gérer la charge de travail et respecter les échéances critiques.
