Title : Representative - Interim Housing Site

In this role, you will :
Responsibility 1: Administration
- Providing professional, friendly, and efficient customer service.
- Managing check-ins and check-outs of residents, including all related paperwork and materials.
- Arranging accommodations and conducting credit and police checks for prospective residents.
- Reporting security incidents and operational issues to management.
- Responsible for receiving, processing, and tracking tenant requests, meeting Red Cross standards for timeliness and quality.
- Assist with the planning, coordination and execution of resident community events, room setup, equipment setup, materials and/or decorations, food setup, etc.
Responsibility 2: Coordination of Accounts and Clerical Duties
- Account setup in the property management software – name, rental address, monthly rent, duration.
- Lease agreements and other required documentation collection and storage.
- Calculates, prepares and issues documents related to accounts such as invoices, account statements and other financial statements using Management Software such as the property management software.
- Checks and assists resolution of discrepancies between Property Management Software and CRC financial reports, ensuring all errors are corrected by contacting required departments.
- Liaising with the finance department to ensure client payments/refunds are processed, generation of lease statements or statements of account as required, and follow-up on NSF payments are completed in a timely manner by the centralized finance team.
Responsibility 3: Supports an Effective Team
- Foster teamwork through professional exchange of experiences and expertise.
- Participate in disaster planning, preparation, and response as required.
What we are looking for :
- Minimum of secondary education in an administrative or business support-related field along with 2-3 years related hands-on experience in a similar hotel/hospitality position.
- Experience with hotel Property Management Systems or any equivalent relevant software is an asset.
- Willing to participate and upgrade training certifications including general safety and relevant courses.
- Excellent interpersonal skills with demonstrated ability to deal with personnel, residents and the public.
- Demonstrated proficiency of Microsoft suite of tools (Outlook, Word, Excel, SharePoint, Teams).
- Comfortable with maintaining databases, managing records, and ensuring the confidentiality and accuracy of information is considered an asset
- Ability to engage with clients, partners, or stakeholders to offer support, answer questions, and provide guidance.
- Demonstrate team leadership skills by effectively communicating expectations, inspiring team members and fostering collaboration to achieve shared goals.
- Comfortable making timely, well-considered decisions that align with organizational values and goals.
- Ability to work independently in a result oriented multi-tasking environment and manage conflicting priorities.
- Must have and maintain a valid Class 5 driver’s license with a clean driving abstract.
- Fluency in English is required, French is an asset.
Working Conditions :
- Hours of work will primarily be Monday to Friday from 8:30 am – 4:30 pm.
- May require non-traditional work hours and to be on call to respond to emergency and disaster-related events, as required.
- Work will be primarily performed from home with some on-site/in-office requirements.
- Much of the work is performed in a virtual office environment; therefore, the candidate must have reliable access to a private workspace, a computer, high speed internet and a telephone.
- May be under time constraints due to payroll deadlines, weekly/month/quarter/year end reporting deadlines.
- Work will require some lifting of up to 22 Kg (50 lbs.)
- Frequent travel between interim housing sites.
