ROLE OBJECTIVE
The objective of the Office Administrator role is to support CRG’s vision and strategy through administrative support to the Managing Partners and Leadership Team. Given the changing needs of the business, this position and related job duties may evolve over time.
Responsibilities
The Office Administrator is responsible for but not limited to the following key areas:
Office Administration:
- Oversee office functions, including procuring supplies, inventory management facilities and visitor management
- Support team events and firm activities (socials, meetings, research, vendor contracting)
- Support the tracking and management of expenses, vacation, recruitment and facilities
- Assist with firm communications by preparing and distributing materials
- Support team meetings: including scheduling, drafting agendas, preparing and disseminating materials, creating presentations, drafting minutes, and tracking follow-up actions where required
- Organize meeting logistics such as venue selection, catering, and technical setup
Engagement Administration Support:
- Support the completion of safety/security clearance procedures as required by the - client (check engagement win notification from client and/or with Sales Team) and update Security Clearance Repository if needed
- Support invoicing processes when required
Recruitment Support:
- Support the coordination of interviews and assist with in-office arrangements for case presentations, including scheduling and venue preparation
- Support the recruitment process utilizing ATS platform to track candidates, manage pipelines, and maintain accurate records
- Support recruitment events, including planning, logistics coordination, and representing the firm to attract top talent
- Support onboarding and off boarding processes
Sales and Business Development Support:
- Provide support in the sales process and strategy by scheduling and booking client meetings as required
- Prepare, print, and send proposal materials to clients, ensuring accuracy and timeliness
- Coordinate post-proposal debrief meetings to gather feedback and drive continuous improvement
- Assist with research and preparation for client engagements, including gathering relevant data and materials as required
Office Management:
- Receive calls, take messages and route correspondence
- Manage office and kitchen supplies and ensure the upkeep of the office
- Greet all visitors and assist them as needed
- Manage and organize logistics for internal and external functions such as client meetings, staff meetings, conferences, trainings, receptions, etc
IT Support
- Provide assistance with IT functions, including inventory management, ticket tracking, and escalation of technical issues
Requirements
- Minimum 3-5 years of experience in an administrative role
- Superior communication skills
- Excellent attention to detail
- Proficient in Word, Excel, PowerPoint, with an aptitude to learn standard firm software and other relevant applications and technical/office equipment at an intermediate level
- Ability to multitask and meet deadlines in a fast-paced environment
- Experience working with multiple managers and collaborating across different teams
- Demonstrates sound judgment regarding confidential and sensitive matters
