General Overview
The People & Culture Coordinator role will be responsible for supporting the delivery of core People & Culture operations across the firm. The successful candidate would be required to execute HR processes, maintaining accurate employee data, and providing day-to-day HR support to employees and managers. This role will also play a key role in maintaining the HRIS as the system of record for employee data, ensuring accuracy, consistency, and audit readiness.
Role-Specific Accountabilities
HR Operations & Employee Lifecycle
- Coordinate and execute onboarding and offboarding processes, including documentation, systems access, and HRIS updates
- Maintain accurate, up-to-date employee records and HR documentation across systems
- Process routine employee changes, approvals, and HR transactions
HRIS & Employee Data Management
- Serve as a primary administrator for day-to-day HRIS transactions and data maintenance
- Ensure employee data accuracy, consistency, and completeness within the HRIS
- Run standard HR reports and support data requests from leadership and Finance
- Support HR audits and compliance reviews by maintaining clean, audit-ready system records
- Support the integration of AI-enabled tools into HR processes in partnership with internal stakeholders and external consultants.
Recruitment & Hiring Support
- Support recruitment activities such as job postings, interview scheduling, and candidate communications
- Prepare offer documentation and ensure established approval processes are followed
- Maintain job descriptions and recruitment records within the HRIS or related systems
Payroll, Benefits & Administration
- Support the Finance team with the coordination of payroll inputs, employee changes, and salary updates through the HRIS
- Administer benefits enrollments, changes, and employee inquiries
- Support audits and compliance reviews through accurate recordkeeping
Performance & HR Cycles
- Support performance review cycles by tracking timelines and documentation
- Ensure performance-related data and documentation are accurately captured in HR systems
- Assist with HR reporting and metrics
Employee Support
- Serve as a first point of contact for routine HR questions and requests
- Apply HR policies consistently and escalate complex employee relations matters as needed
- Contribute to a professional, respectful, and compliant workplace
Qualifications & Experience:
- Bachelors Degree in Human Resources or a related field
- 3–5 years of experience in an HR Coordinator or HR Administrator role
- Hands-on experience using an HRIS to manage employee data and HR transactions.
- Experience working with APD Workforce Now would be a strong asset
- Working knowledge of core HR operations including onboarding, payroll coordination, benefits administration, and employee lifecycle processes
- Strong attention to detail and comfort working with confidential information
- Well-developed organizational and time-management skills
- Clear, professional written and verbal communication skills
- Strong Excel skills and comfort working with reports and data
- Professional working proficiency in French is highly advantageous
