Job Description: Supply Chain Coordinator

Position Summary
The Supply Chain Coordinator is responsible for supporting day-to-day supply chain activities, with a primary focus on procurement, inventory management, and customer ingredient quoting. This role plays a critical part in ensuring materials are available to support production schedules while maintaining accurate inventory and cost control.
Key Responsibilities
Procurement
- Source and procure ingredients, packaging materials, and other production-related supplies
- Issue purchase orders and follow up with suppliers to ensure on-time delivery
- Maintain strong working relationships with vendors and resolve supply or quality issues
- Liaise with R&D Project Manager and QA department for new supplier/materials onboarding on the following tasks
- Source ingredient samples from suppliers, evaluating cost, lead times, and minimum order quantities (MOQs)
- Understand requirements from QA, Operations, R&D for any new or changed sourcing
- Negotiate with suppliers to improve pricing, reduce MOQs, and optimize lead times
Inventory Management
- Monitor inventory levels to support production requirements
- Coordinate inventory counts and assist with reconciliation and variance investigation
- Maintain accurate inventory records within inventory/production management systems
Customer Ingredient Quoting
- Prepare and maintain ingredient cost quotes for customers
- Work with sales, operations, and finance to ensure pricing accuracy on all items, including freight, brokerage, duties, & materials
- Update quotes based on supplier pricing changes or formulation updates
- Communication of quotes to customers
- Internal communication to accounting of approved quotes that need invoicing
- Ensuring payment receipt from customers prior to ordering materials
Systems & Reporting
- Use inventory and/or production management software to track materials and usage
- Generate reports related to inventory levels, usage, and procurement activity
- Support continuous improvement initiatives related to supply chain processes
Qualifications & Experience
- Post-secondary education in Supply Chain Management, Business, or related field preferred
- 2+ years of experience in supply chain, procurement, or inventory roles
- Experience with inventory/production management software is an asset
- Strong Excel skills and attention to detail
- Excellent communication and problem-solving abilities
