Duties And Responsibilities
Reporting the Director of the School of Social Work and working with minimal supervisor the School Administrator is responsible for the efficient administrative operation of the School.
The School Administrator carries responsibility for financial administration, staff supervision, timetable preparation, academic calendar changes, student admissions and registration, advertising and creating contract instructor contracts, administratively supporting the Director, as well as looking after physical space allocations, equipment purchasing and maintenance, health and safety concerns, organizing events, and coordinating communication efforts within the School.
The School Administrator acts in an advisory capacity to the Director on departmental administrative matters and ensures the sound financial coordination of the School’s operating budgets and grant accounts belonging to the School. The School Administrator also participates at administrative meetings and initiatives within the Faculty and the University.
Qualifications
The incumbent must possess the following qualifications:
- Excellent understanding of administrative and academic administrative policies and procedures, along with the demonstrated experience in providing solutions to operational challenges faced by the unit head, faculty, students and staff;
- Strong knowledge of the processes involved in planning, developing and building the academic timetables and approved teaching assignments;
- Familiarity with the processes involved to support unionized hiring for contract instructors, teaching and research assistants and administrative support staff with solid working knowledge of the multiple and relevant collective agreements and articles;
- In-depth understanding of the curriculum and academic calendar in relation to program pathways and degree completion at the undergraduate and/or graduate level, including experience advising and supporting student success;
- Demonstrated understanding of the importance of Equity, Diversity, Inclusion, Indigenizing, Decolonizing and Reconciliation in society, the post-secondary environment and especially in the School of Social Work is required to work successfully in supporting the faculty, students, staff with respect and ongoing work towards actively dismantling systemic racism, colonialism, sexism, homophobia and heterosexism, ableism and other forms of oppression and marginalization;
- Strong and demonstrated budgeting and financial skills with experience using the financial management systems such as FAST, eShop, SAP Concur and Excel to track, plan and forecast expenses in limited financial environments;
- Deep understanding of both academic and administrative rules and regulations to advise the Director, faculty, students and staff on diverse and various operational and academic issues;
- Related experience and leadership skills to successfully supervise, allocate work and motivate a team in a unionized environment;
- Office and space administration experience, along with knowledge of environmental health and safety legislation and emergency management procedures to help ensure a safe workplace;
- Excellent ability to work well under pressure, while paying close attention to detail, with exceptional organizational and time management skills to effectively prioritize work and to support the Director and departmental team with multiple deadlines;
- Strong computer and software skills, with expertise in the MS Office Suite, including Wordpress and PowerPoint and working knowledge of the various and relevant Carleton University specific software to perform all required responsibilities effectively and thoroughly;
- Emotional intelligence with excellent interpersonal, communication and conflict resolution skills;
- Strong judgment, initiative, resourcefulness, creativity and problem-solving skills; demonstrated ability to initiate change and develop new methods and procedures.
Education And Experience
The above is normally acquired through the completion of:
- University degree.
- Minimum of 5 years of directly related academic administration experience is required.
- Related experience must include at least 2 years of student advising experience in an undergraduate and/or graduate program administrator or related role.
- Supervisory experience preferred.
