Summary:Mircom is seeking a motivated and detail-oriented Service Coordinator with proven experience managing all aspects of service and construction activities. The Service Coordinator will report to the Manager and work closely with the service and sales teams. Occasionally, the incumbent may also provide support with light warehouse tasks as needed. This is a full-time, bilingual position based at our Pointe-Claire, QC branch.
Main responsibilities:
- Create purchase orders for the various needs of the service department, including suppliers, subcontractors, equipment and technical requirements.
- Create work orders for service calls and schedule technicians.
- Manage reception tasks such as greeting visitors, handling incoming calls, providing administrative office support, and other urgent requests.
- Manage the inventory and coordination of parts, equipment and tools for upcoming PMA and construction projects.
- Perform transfers of parts between different warehouse locations.
- Monitor suppliers' assets.
- Monitor technicians' assets and their distribution.
- Monitor consumable stock levels and place replenishment orders as needed.
- Create work orders for supplier services.
- Assist in reviewing documents related to billing issues, hours, discrepancies, etc.
- Create and review open work orders to resolve outstanding issues for PMA and construction projects.
- Review the documentation relating to billing discrepancies for work orders.
- Review the documentation relating to billing discrepancies in purchase orders.
- Assist in responding to requests from customer accounts, supplier accounts, customers and sales.
- Document project files and ensure proper filing in shared virtual drives.
- Assisting with credit applications for the service and construction departments.
- Inventory all technical assets and maintain equipment calibration schedules.
- Assisting with certain light warehouse tasks as needed.
- Ensure that the work is carried out in accordance with ISO quality standards and compliance procedures
Requirements and Skills:
- Minimum of 3 years and more of experience in office administration.
- Experience in the industry would be considered an asset.
- Post-secondary education required (diploma or technical certificate).
- Strong computer skills (Microsoft Office – Excel, Word, etc.).
- Excellent customer service skills. Strong interpersonal skills and team spirit.
- Ability to meet tight deadlines. Strong communication skills, both written and oral. Strong organizational skills.
- Maintain a clean and safe work environment.
- Ability to handle confidential information with a high degree of professionalism.
- Must be perfectly bilingual in French and English.
