The Opportunity
We are looking to hire an Administrative Assistant on a Permanent Full-time basis. Reporting to the Office Manager, the Administrative Assistant will be accountable for various administrative and clerical responsibilities including providing administrative support to managers and employees, assisting with daily office needs, and managing the companys general administrative function.
Some key responsibilities include:
- Accurate data entry and invoicing
- Collecting, organizing, and filing documentation
- Tracking, auditing, and restocking PPE
- Directing calls and emails
- Answer calls and emails while providing exceptional customer service reflective of the organization.
- Creating maps via Adobe Photoshop
- Receiving documents and preparing documents and reports
- Provide administrative support to managers and employees
- Prepares professional correspondence for internal and external parties and customers.
- Coordinating events for PPS that are aimed at building the Companys brand and reputation in the Calgary metro business community.

You naturally have an administrative mindset and thoroughly enjoy supporting office staff. You just love keeping things tracked and organized. Spreadsheets and data entry excite you and you have a proven track record of high accuracy. You receive instructions, write them down, get any necessary clarification, and follow the instructions until your task or project is complete. You can prioritize. You are confident to ask questions if something is not clear to you. You are someone with excellent attention to detail and can focus for long periods of time. Because you're a quick learner, before long you will get into the flow of things. Taking initiative and being action-oriented is part of your DNA, and your positive attitude will help you succeed in your position. You achieve results and understand us by being a great communicator and team player. You and your references consider your administrative abilities to be excellent. You must be willing and able to work 30-40 hours a week. We are a busy and high-traffic office. It is important that you can focus despite interruptions and enjoy a fast pace at times.
You MUST possess the following education, experience, and skills:
- High School Diploma or GED is required.
- Post-secondary education specializing in Administration, Business, Human Resources, or a related field OR equivalent workplace experience.
- Minimum 2-3 years of administrative assistant experience, preferably in commercial property lawn maintenance and snow removal OR a similar industry.
- Must be competent with computers and various software applications.
- Intermediate level proficiency with Microsoft Office (Outlook, Cloud, Excel, Word, PowerPoint).
- Photoshop experience is an asset, but not necessary if you're willing to learn, but must have an intermediate technical ability.
- Excellent written and verbal English skills necessary to keep up with fast-paced environment.

Rate of Pay: Hourly rate is commensurate with experience and training.
Start Date: We would like to hire right away. However, we do dream of a person with all (or most) of the qualifications listed above.
