Who you are
You are a detail-oriented and dependable professional who takes pride in accurate financial and payroll work. You enjoy working with numbers, policies, and procedures and understand the importance of getting things right—particularly in a unionized and highly regulated environment. You are comfortable managing deadlines, maintaining confidentiality, and balancing multiple responsibilities in a busy office setting. You bring hands-on experience in payroll administration, accounts receivable, and accounts payable, along with a solid understanding of financial statements and Canada Revenue Agency (CRA) rules, including statutory deductions and remittances. You confidently apply this knowledge to ensure payroll and financial transactions are processed accurately, on time, and in compliance with collective agreements, legislation, and internal controls.
What you’ll do
- Process bi-weekly payroll for unionized and exempt employees, ensuring accuracy and compliance with collective agreements, organizational policies, and applicable federal and provincial legislation.
- Maintain complete and accurate employee payroll and personnel records, updating the financial and payroll systems as required.
- Perform monthly and annual reconciliations of payroll-related accounts, including CRA statutory remittances, WCB premiums and claim costs, and Municipal Pension Plan contributions; remit payments and submit reports within prescribed timelines.
- Prepare and file T4 and T4A slips, summaries, and related year-end payroll reconciliations in accordance with CRA requirements.
- Prepare payroll journal entries, accruals, and reconciliations, including year-end payroll working papers to support internal controls and audit verification.
- Process payroll and benefits information for new hires, terminations, retirements, and leaves, ensuring timely and accurate updates to payroll, benefits, and pension records.
- Administer employee benefit programs, including enrolments, changes, remittances, and required reporting to benefit providers.
- Assist with budget preparation, forecasting, and cost analysis related to wages, benefits, and payroll-related expenses.
- Respond to payroll, benefits, and deduction inquiries from employees and management, providing clear, timely, and confidential support.
- Other payroll & airport administration related duties as required.
What you’ll bring
- Completion of a recognized accounting or payroll program, business degree, or post-secondary accounting diploma from an accredited institution.
- Minimum five (5) years of direct payroll administration experience in a regulated organizational environment.
- Additional experience working in a financial or accounting function is considered an asset.
- A combination of relevant education, training, and demonstrated experience may be considered.
- Completion of, or active progress toward, the National Payroll Institute (NPI) Payroll Compliance Practitioner (PCP) designation.
- Demonstrated experience working with computerized payroll and accounting systems, including a strong working knowledge of Microsoft Excel.
- Experience working in a unionized workplace, including the interpretation and application of multiple collective agreements, is considered an asset.
- Experience administering employee benefit programs and/or defined benefit pension plans (including remittances and reporting) is an asset.
- Strong written, verbal, and interpersonal communication skills, with the ability to explain payroll and financial matters clearly and professionally.
- Proven ability to work with a high level of accuracy and efficiency while meeting tight payroll and reporting deadlines.
- Demonstrated organizational, prioritization, and problem-solving skills in a fast-paced and compliance-driven environment.
- Ability to communicate thoughtfully and exercise sound judgement and discretion when handling sensitive and confidential information.
- Demonstrated ability to establish and maintain effective and respectful working relationships with operational management, colleagues, and external stakeholders.
- Ability to work independently, manage assigned responsibilities, and complete tasks in a timely and accountable manner.
