ROLE & RESPONSIBILITIES
Reporting to the General Manager, the Golden Skybridge Operations Coordinator plays a key cross-functional role supporting staff experience, operational efficiency, special projects, and guest satisfaction at Golden Skybridge. This position is responsible for staff housing coordination, onboarding, uniforms, event planning, vendor management, review monitoring, uniform distribution, and various administrative, project and operational tasks. Working closely with multiple departments and external stakeholders, the Operations Coordinator ensures seamless internal operations while enhancing the overall employee and guest experience.
Employee Support (Onboarding, Orientation, & Offboarding)
- Facilitate onboarding workflows including employee profile setup in Whats App, welcome communications, weekly newsletters, staff accommodation, timeclock orientation, and distribution of necessary onboarding materials
- Co-lead GSB and BJC staff orientations, coordinate bookings, scheduling and attendance, and serve as a point of contact for new hires throughout their initial integration
- Administer exit interviews and performance wrap-ups, compiling trend reports to inform HR and leadership of strategy
- Monitor and maintain Golden Ideas requests and execution for future reporting back to management and staff
- Working closely with the Events Coordinator. Provide support and collaborate on execution of events, with a particular focus on staff-related functions and internal team experiences
Internal Communications & Engagement Initiatives
- Plan and execute monthly employee events, social activities, and engagement campaigns that foster morale and team cohesion
- Develop and manage contra partnerships, ensuring equitable access and adherence to GSB policies
- Coordinate staff-wide communications, including internal bulletins, weekly newsletter, and seasonal updates
- Assist employees with internal Pursuit Bookings
Uniform & Policy Compliance Management
- Support management in ensuring team compliance with appearance and grooming standards, including obtaining and tracking signed policy acknowledgments from all employees
- Monitor uniform lifecycle, recommend replenishment timelines, and collaborate with department managers on sizing and forecasting
- Manage uniform inventory, procurement, and distribution
Operational & Administrative Support
- Draft and circulate meeting agendas and notes for recurring leadership and
- interdepartmental meetings
- Manage office supplies inventory
- Manage vendor invoicing and purchase order tracking via Centerviews; ensure timely approvals and budget alignment
- Coordinate staff shuttle operations, including route planning, driver coordination, and collaboration with department heads on scheduling needs
- Collaborate with leadership and cross-functional teams to support the development, coordination, and execution of project plans, ensuring alignment with operational goals and timelines
- Assist General Manager with Weekly Leadership Meeting meetings with minutes and followups
- Support Senior Leadership team, including General Manager, Operations Manager and Hospitality and Guest Experience Manager as needed
Staff Housing & Residential Coordination
- Oversee end-to-end management of employee housing, including onboarding/offboarding via Rent Manager, room inspections, maintenance tracking, inventory management, and the administration of bi-weekly payroll deductions
- Mediate roommate or housing-related conflicts, ensuring a safe, respectful, and well maintained living environment
- Conduct regular audits and work with property management to uphold housing standards
Seasonal Recruitment & Workforce Support
- Assist with seasonal recruitment activities, including interview scheduling, applicant tracking, and onboarding support across diverse departments
- Serve as a liaison between hiring managers and candidates during seasonal ramp-ups
Guest Experience & Reputation Monitoring
- Actively monitor, respond to, and analyze online guest reviews across multiple platforms
- Prepare weekly Net Promoter Score (NPS) and guest satisfaction reports; contribute to monthly guest experience review meetings with insights and action items
- Collaborate with frontline teams to implement service improvements based on review analytics
Payroll Administration for Golden Skybridge Departments
- Serve as the primary liaison for payroll-related processes across multiple GSB
- departments, ensuring timely and accurate submission of employee hours and wage adjustments
- Support department managers in validating timeclock entries within Workday, troubleshooting discrepancies, and resolving missed punches or scheduling errors prior to payroll deadlines
Communications & Community
- Represent GSB internally and externally, manage staff announcements, internal
- postings, and support GSB’s involvement in community initiatives
- Be Golden Skybridge’s representative on the Pursuit Community Foundation board, supporting Pursuits overall goals to give back to our local communities
- Support Golden charities and community groups to ensure they are supported in applying for the Pursuit Community Foundation for funding
REQUIRED SKILLS & QUALIFICATIONS
- Experience in hospitality, HR coordination, or operations support.
- Strong organizational and interpersonal communication skills.
- Proficiency or ability to learn with platforms such as Whats App, Rent Manager,
- RTP, Mail Chimp , Centerviews, Medallia, Outlook and Workday .
- Ability to manage multiple projects across departments in a fast-paced
- environment.
- Conflict resolution training or certification an asset
