Doctors Nova Scotia (DNS) is the professional association representing all physicians in the province, with over 5,500 members including practicing and retired physicians, medical students, and residents. Reporting to the Director, Physician Compensation and Negotiations, the Program & Administrative Coordinator is a vital member of the team, ensuring the effective coordination of meetings, programs, and projects related to physician agreements and compensation. This role requires a high degree of organization and the ability to manage competing priorities in a fast-paced, confidential environment. Core Responsibilities
In this role, you will provide comprehensive administrative and operational support to the Physician Compensation and Negotiations team, as well as Legal Counsel and the Privacy Officer. Your responsibilities include:
- Administrative Coordination: Manage calendars, schedule virtual and in-person meetings, and coordinate all logistics. Prepare and distribute meeting materials, take minutes upon request, and track action items to ensure timely follow-up.
- Committee & Program Support: Serve as the primary point of contact for committees and working groups related to the Physician Agreement and Clinical/Academic Funding Plan Agreement (C/AFP).
- Data & Reporting: Assist with reporting requirements, including drafting annual Targeted Project Funding (TPF) workplans and quarterly reports for the Department of Health and Wellness. Maintain tracking systems for fee applications and billing audit activities.
- Physician Liaison: Assist physicians with audit and appeal processes and handle correspondence and inquiries with a high level of professionalism.
- Office Operations: Provide front desk coverage and support to the broader administrative team while proactively identifying opportunities to improve workflows and communication.
Qualifications
You are a proactive administrative professional who takes initiative and enjoys working both independently and collaboratively.
- Education: A post-secondary diploma in office administration (or an equivalent combination of education, training, and experience).
- Experience: A minimum of five (5) years’ experience in an administrative role.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
- Organizational Excellence: Exceptional time management skills and a high level of attention to detail and accuracy.
- Communication & Discretion: Strong written and verbal communication skills with the proven ability to handle sensitive and confidential information with absolute discretion.
- Adaptability: Ability to manage multiple priorities in a fast-paced environment, including occasional evening meetings.
