Position Summary
The Finance Associate supports the Finance Department by providing accurate financial data entry, accounts payable processing, document management, and administrative support.
Working under the direction of the Finance Manager, the incumbent ensures financial records are maintained accurately and confidentially while adhering to established financial policies, procedures, and the Financial Administration Law (FAL).
This position requires strong organizational skills, attention to detail, professionalism, and a commitment to continuous learning and teamwork.
Key Responsibilities Financial Administration
- Perform accurate data entry for Accounts Payable transactions.
- Review financial information for accuracy and identify errors prior to processing payments.
- Process and prepare cheques and Electronic Funds Transfers (EFTs).
- Assist with additional accounting functions, including bank reconciliations, payroll processing, pension reporting, and extended health benefit reporting as required.
- Prepare Money Order Requests and coordinate pickups from financial institutions.
- Deposit cash receipts and rental revenues at designated banking institutions.
- Ensure compliance with the Lower Similkameen Indian Band Financial Administration Law (FAL) and all applicable financial policies and procedures.
Records Management and Administrative Support
- Organize, file, scan, and electronically store financial documents and records.
- Photocopy and maintain supporting documentation.
- Maintain accurate and accessible filing systems.
- Provide administrative and clerical support to Finance Department staff as required.
Communication and Customer Service
- Maintain regular communication with the Finance Manager or designate regarding daily priorities, assignments, and weekly planning.
- Respond professionally and effectively to inquiries from staff, Band members, vendors, community members, and the public by phone, email, and in person.
- Demonstrate professionalism, courtesy, respect, and a positive attitude in all interactions.
Continuous Improvement and Safety
- Identify opportunities to improve efficiency, processes, and service delivery within areas of responsibility.
- Contribute to a safe and respectful workplace by following established health and safety procedures.
- Assist with special projects and perform other duties as assigned by the Finance manager.
Financial Accountability
- The Finance Associate is responsible for:
- Processing financial transactions accurately and confidentially.
- Handling deposits of cash and rental revenues.
- Preparing Money Order Requests.
- Maintaining accurate supporting documentation and financial records.
Qualifications Education
- Grade 12 Diploma or equivalent.
- Student Training Apprenticeship Programs or Summer Learning Programs are considered an asset.
- Post-secondary education, coursework, or training related to accounting, bookkeeping, finance, or business administration is encouraged.
Experience
- Experience using Microsoft Office applications, including Word, Excel, Outlook, and email systems.
- Previous administrative, clerical, bookkeeping, or data entry experience is considered an asset.
